This works ok. But I have one question. Since the approval part is merely hidden on the form what stops the submitter from approving there own form. Is there some way this can been hidden or only shown to the person that approves the submission?

You can use the field show and hide conditions to hide fields until a certain entry is made in one field. This is often used to allow your own staff to have one fields shown for approval while without the required phrase the only fields shown are those that the person filling out the jotform should see.

You can see an example of this here: http://form.jotformpro.com/form/50203880541952

    - To unlock the hidden fields type staff123 into Contract ID field in top left corner.

You can also clone it to your account following these steps: How to Clone an Existing Form from a URL

    How it was made?

First add all of the fields that you would like to have on your jotform and then separate them using Form collapse tool. You do this by having the first Form Collapse tool added after the textbox for the staff - in my example I have named it Contract ID.

Now you break these sections into 2. Those that would be shown to your staff and the other section that would be shown to all.

Once done, we set the conditions to check the field above the first Form Collapse for matching pass phrase and if so we show the staff fields as well.

This guide will show you more about that: Show or Hide multiple fields at once using form collapse tool

    Hi,

Got a question regarding this one.

Once the user goes back and edits the data as it was rejected, he presses submit again. In this case, the management fields are hidden but still filled in. This means the conditional e-mail based on rejected are being sent again. Any idea on how to fix this?

    Cheers,
    Geert
