Thank you for your interest in renting a double bass during the ISB Convention 2025.

 

Rental Requirements:
To complete this rental agreement, the following steps must be completed:
1. Fill out this contract via online form
2. Submit payment in full for the rental period. 

Cancellation Policy:
100% Refund - Customer must cancel within 24 hours of booking OR more than 14 days prior to the start of the rental. Rental fees will be refunded in full.

50% Refund - Customer must cancel between 7 and 14 days prior to the start of the rental. 50% of rental fees will be refunded.

No Refund - Customers that cancel within and after the 7 days before the start date of the conference will not be eligible for a refund on the rental. 

Renter Details

I understand that by filling in these details and renting with Miami String LLC., I am agreeing to pay my rental balance in full and this is my authorization form. 

A. Renter’s Responsibilities

     1. Condition of the Instrument at Pickup

• All rented double basses are issued in pristine condition—either new or meticulously maintained.
• Renters are required to inspect the instrument at the time of pickup.
• If any marks, nicks, scratches, or damage are present, the renter must report them immediately before leaving with the instrument.
• Failure to report pre-existing damage before taking possession of the instrument means the renter accepts full responsibility for any condition issues noted upon return.
• If rosin is supplied with the rental, it is expected that the rosin be returned with the rental.

    2. Care of the Instrument

• Renters must handle the bass with utmost care. 
• Excessive wear and tear may be considered damage and must be reported immediately.
• Dragging the bass when lifting it is considered neglect and will be treated as damage.
• Bow damage to the ribs or bouts will be considered renter negligence.

      3. Modifications & Adjustments

• Subleasing is strictly prohibited.
• Renters may adjust the bridge for personal playability but are liable for any damage resulting from incorrect adjustments.
• If the bridge needs adjustment, Miami String strongly advises renters to seek assistance from a Miami String representative.

B. Insurance

1. Your bass rental includes musical instrument coverage from Anderson Musical Instrument Insurance Services, LLC. Your rental instrument will be covered during the time the bass is checked out from the ISB convention office until it is returned. Coverage includes accidental damage and/or theft, as long as the bass is not left unsecured. In case of a claim, the renter is responsible for the $250 deductible.
2. Replacement value of the instrument: Economy Double Basses $2,500; Professional Double Basses $10,500; Premium Double Basses $25,000. Rental categories are not determined by price, even though instruments within each category may fall within certain price ranges.

C. Loss or Damage

1. If an instrument is lost or stolen, the renter must file a police report within 24 hours and submit it to Miami String, LLC. within 48 hours.
2. If an instrument is damaged beyond repair, the renter is responsible for paying the full replacement cost should insurance not cover the loss. A certified luthier's evaluation will determine whether an instrument is considered irreparable.

 

D. Instrument Availability & Loaner Policy

1. Instruments are rented on a first-come, first-served basis.
2. Availability is limited by category. Renters may only select from available instruments.
3. If a replacement is needed due to damage, Miami String will provide a loaner if one is available.
4. If no instruments remain in the rented category, the renter may choose to pay for an upgrade to the next available category.

 

E. Late Returns & Additional Fees

1. Late returns or returns outside rental hours will result in an additional full week’s rental fee. Renters are responsible for confirming pickup and dropoff rental hours with ISB. Show office will be open between 7:30 AM and 6:30 PM Sunday June 1 – Saturday June 7, and 10 AM – 6:30 PM Saturday May 31st. Renters will pick up their basses from Housewright Music Building (HMU) 125/126.
2. Cleaning Fees: Instruments must be returned in the condition originally rented.
3. Deep cleaning fees will apply in cases where buildup is present: i.e. Pops rosin or Leatherwood 80% rosin.
4. Rosin buildup is not expected within one week, but is possible in some cases. The bass player should lightly clean the bass strings, bridge, and wood after each use.
5. Any cleaning beyond basic maintenance will be subject to additional fees.

 

F. Liability & Default

1. The renter is responsible for the full condition of the bass during the rental period.
2. Miami String, LLC. reserves the right to charge the renter’s credit card for damages, cleaning fees, or late fees in accordance with the terms of this agreement.
3. If the instrument is lost, stolen, or destroyed, the renter is liable for full replacement value.

G. Dispute Resolution

1. Miami String, LLC. retains the right to resolve any disputes at its sole discretion. 
2. Miami String, LLC. prides itself in being fair and respectful. We will attempt to work with our clients in most situations as long as proper communication and actions are followed. Vandalism will not be tolerated and falls outside the scope of proper actions.
3. Any legal disputes shall be handled in Miami-Dade County, Florida.
4. Renters agree to mediate disputes before pursuing legal action.
5. Renters agree that mediation will be confidential. 
6. Renters who engage in public defamation may forfeit the opportunity for goodwill-based resolution.
7. The Parties covenant and agree that in no event, and at no time during and after the rental period, shall either of them disparage, denigrate, slander, libel, or otherwise defame the other or the other's businesses, services, properties or assets, or employees, personnel, agents, or representatives.
