  • J. Cloyd Miller Library is committed to providing equitable and inclusive access to information and resources for all members of our community. We strive to create a welcoming and respectful environment where all individuals can freely explore ideas and engage in intellectual pursuits.

    Expectation of Patrons:

    • Respectful Conduct: We expect all patrons to conduct themselves in a respectful and considerate manner towards other patrons, staff, and library resources.
    • Freedom of Expression: The Library supports the right to free expression within the framework of the law and library policies.
    • Appropriate Use of Facilities: Library spaces are intended for quiet study, research, and community engagement. Disruptive behavior, including loud conversations, harassment, and the display of offensive materials, will not be tolerated.

    Saturday Scheduling
    To ensure the best possible service for our university community and efficient use of our limited staffing resources, the J. Cloyd Miller Library has implemented the following policy regarding Saturday event scheduling:

    General Availability:

    • The library building and its event spaces are primarily available for university-related activities and events on Saturdays.
    • This includes events hosted by university departments, WNMU student organizations, faculty, and staff.

    Non-University Related Groups:

    • While we appreciate the interest from community groups and organizations, our Saturday availability is limited.
    • We are unable to accommodate recurring Saturday events for non-university related groups at this time.

    Event Policy

    I. Purpose The purpose of this policy is to ensure the safety of students, staff, faculty, and guests of Western New Mexico University J. Cloyd Miller Library during special events.

    II. Scope This policy presents guidelines for all special events held within Miller Library. Any university department or outside group planning or sponsoring a special event held within Miller Library must obtain approval no later than ten (10) days prior to the event. Occupancy limit is 50 patrons with exceptions for special university events.

    III. Event Sponsor Responsibilities Groups utilizing library meeting rooms and the Event Square must adhere to all library policies and procedures.

    This includes:

    • Responsible for set-up/clean-up beyond university tables/chairs.
    • Responsible for appropriate event publicity.
    • Responsible for AV (Media Technology Services) requests. 
    • Respectful Conduct: Maintaining a respectful and inclusive environment for all attendees.
    • Compliance with Library Rules: Adhering to all library rules, including those related to noise levels, food and drink, and the use of library equipment.
    • Compliance with Safety Regulations: Adhering to all fire and safety regulations.


    Consequences: The consequences of violating the ethics statement set forth by J. Cloyd Miller Library for patrons will result in the loss of library privileges.

    IV. Staffing Library staffing will depend on the venue, time, date, estimated capacity, and nature of the event.

    V. Catering No food or drinks are allowed in the library.

  • Media Technology Services

    Those checking out equipment from Media Technology Services (MTS) are solely responsible for the safekeeping of said equipment. By taking possession of MTS equipment, either by counter checkout or delivery, you agree that the equipment is complete and without visible or obvious defect. All equipment will be thoroughly checked when returned to the MTS offices for missing items or damage. All charges resulting from loss, theft or damage are the sole responsibility of the patron. Should a crime occur resulting in the loss, theft or damage of MTS equipment, an official police report must be submitted to MTS as soon as possible.

    Zoom Enabled Event Support

    Media Technology Services provides on-site audiovisual and technical support for events, including assistance with the Zoom portion when applicable. *Event hosts are responsible for creating and scheduling their own Zoom meetings using their institutional Zoom account. (If you require assistance, please let us know and we will work with the Video Communications Department to provide that assistance). Our staff will support the in-room technology and help ensure a successful Zoom experience during the event.

  • Special Event Release of Liability

    By selecting accept below, you are agreeing in consideration of your participation in the special event held within J. Cloyd Miller Library on the date indicated, to hereby release Western New Mexico University, its officers, employees and agents, and any other people officially connected with said event, from any and all liability, which might occur while participating in this event. Specifically, you release said persons from any liability or responsibility.
