BOOKING TERMS & CONDITIONS
Please note by confirming a booking via email / telephone you are in automatic acceptance of these terms.
1) BOOKING FEES
a) Charges are at the rates notified to the client when the contract is made and must be paid in full to Exhibition Girls Ltd before the event and to confirm staff. Interest will be added to late payments of 0.5% per day and a discretionary late payment charge align with UK law will be added. All bank charges are to be paid by the client including international transfer fees and currency calculations. Any missing funds will be re-invoiced. Any on-going debt will be forwarded to Cobra Financial Debt Collection Services.
b) Full payment and receipt of a signed contract copy is due on confirmation, to secure the booking. Failure to settle the balance prior to the event will result in staff cancellation. Any charges, clothing, transportation (flights, train tickets or hotel bookings) that have been paid by the agency upfront will be added to the initial deposit invoice, for immediate payment.
c) An international bank transfer fee will be required for any BACS payments from clients based outside of the UK. Non-UK currency conversion feeds and credit card fees are also chargeable. a) Clients must seek prior permission from Exhibition Girls Ltd should they wish to extend hours. Overtime will be invoiced for immediate payment
2) REFUNDS & CANCELLATIONS
a) Refunds on cancellations are not payable. All expenses paid upfront by Exhibition Girls Ltd will be charged in full to the client.
b) Exhibition Girls Ltd take no responsibility for any failures of external contracts between the event organizer, logistic failures, mis-organization or weather that causes non-attendance.
c) Exhibition Girls Ltd take no responsibility for travel disruption, tube strikes or terrorism which may cause event cancellation.
3) JOB BRIEF
a) Amendments to the agreed staff job specification, change in job role, must be notified to Exhibition Girls Ltd. Commissions or bonuses are not payable to staff.
4) LOGISTICS
a) Exhibition Girls Ltd rates do not include street permits when staff are booked for campaigns in public spaces. Clients are responsible for acquiring and paying for permits. Exhibition Girls Ltd accept no liability if a promotion or event is cancelled due to a failure in providing this.
b) It is a legal requirement to ensure that staff have access to water.
c) Staff are required to take 30 minutes break per every four hours, and should always be taken during the work shift (not at the beginning or the end). Break times will not be deducted from working hours, as they are part of the well functioning of the job.
d) Physical castings are not organized, unless for a modelling booking which requires the candidates to try on and fit clothing. Skype or telephone interviews will be organized with staff on request. Training days are chargeable at a set rate. Exhibition Girls Ltd will schedule additional time on the morning of show days for an induction, which will be charged at the standard rate. 5) REFUND
a) If a staff member proves to be unsatisfactory then the Client must inform Exhibition Girls Ltd immediately. The Client must prove that the booking has not worked to a reasonable standard, or that they have not performed as per the brief or request.
b) The Client should take all steps to help the booking perform - this includes giving guidance, advice and clear instructions. Exhibition Girls Ltd will then offer a suitable alternative to replace
the unsatisfactory one. The Client will at this stage be able to reject the offer to replace and will be refunded.
d) Exhibition Girls Ltd employees are an employment agency working with temporary business workers, therefore the Company occasionally has to replace the model with a suitable alternative should the staff member become unavailable. The client has the right to reject the replacement worker and receive a full refund.
6) LIABILITY
a) Exhibition Girls Ltd accept no liability for any loss or expense to the client arising from the conduct of personnel during work. They shall hold Exhibition Girl Ltd indemnified in respect of any costs claims and demands by any in respect of damage or personal injury to any person or the death of any person, whether staff or not.
b) The Client is solely responsible for the health and safety of all Exhibition Girls Ltd freelance personnel while they are providing the services, including travelling to and from the event if arranged by the client.
7) PHOTOGRAPHY
a) Clients must seek prior permission from Exhibition Girls Ltd if images taken at tradeshows and event will be used for commercial and advertising purposes.
8) CONTACT WITH MODELS
a) Clients should not contact girls directly without permission of Exhibition Girls Ltd. Temporary Business Workers are under contract with the agency and are not allowed to work directly with clients in any capacity. If it is disclosed that you are contacting or working with a staff member directly in any capacity a £1,500 introduction fee will be invoiced with immediate payment. All communication prior, during and after the show must be through the agency.
9) CLIENT CONDUCT
a) Verbal or physical abuse of staff whether event or booking staff is not tolerated under any circumstances. Should this occur Exhibition Girls Ltd reserve the right to terminate the booking with immediate effect, with no refund payable.
