How do I track who registers against who pays!

Asked by KYSC on May 29, 2012 at 03:35 PM

Katy Youth Soccer Club - we've been using JotForm for a few seasons now and love it!  One snag, we have our form setup to let parents sign their kids up for soccer camp and we have a PayPal account setup to accept the payments for that camp.  The parents fill out the form and hit SUBMIT, which then takes them to a PayPal window to pay for the camp.  However, if they do not complete the PayPal submission, we still have them recorded as Registered for the camp.  PayPal sends us an email notification for every payment, but there's no way for us to compare the data without manually trying to match up the PayPal emails to the JotForm registration information.  PayPal sends a Unique Transaction ID with each email, but that is not info tied to JotForm info.  All the other descriptive info passed through from JotForm to PayPal and then back to us (via the PayPal email) are generic title blocks from our form.....so once again, can't tie to an individual registration.

Ideally, we like to see the information gathered within JotForm to only be recorded once the PayPal transaction is complete.  Is this possible?

As a matter of fact, unpaid submissions are recorded separate from those with completed payments. Unpaid submissions/registrations are dumped in the "Incomplete Payment" section of your form's submissions page.

Upon looking at your submissions page, it appears that you have manually "completed" a lot of incomplete payment entries, making it harder to track which registrations are paid and which are not.

Here's a tip: Paid submissions should have Payer Info and Payer Address under the "My Products" section. That's how you would know which ones are paid. After skimming through your form registrations though, I found out that there were no successful payments made through your form.

But we do have many successful payments....ie: we receive 245 emails from PayPal indicating people have paid for the clinic.  As you have looked at the submissions for this form, you know we have 265 +/- submissions.

It sounds as if there is something wrong with how I've designed the JotForm?  I see I have no data under My Products column..... but like I said, we have received MANY payments via PayPal.  Any idea where I need to start looking?

Did you manually complete these submissions in the incomplete payments list?  I could not find an actually completed payment since the submissions under the My Products field in your submissions list are blank.

If so, can you check if you have the proper IPN set in your Paypal account?

    To check:

    1. Log-in to your merchant account
    2. Click Profile
    3. On the right side, click "Instant Payment Notification Preferences"
    4. You'll see a page explaining IPN features, click "Choose IPN Settings" button at the bottom.
    5. Put following URL in the "Notification URL" box: http://www.jotform.com/ipns/paypal.php
    6. Select "Receive IPN messages (Enabled)"
    7. Click Save.

I'll have to have the Treasurer of our club follow these steps.  I don't have access to the profile portion of the PayPal account.  I'll update once we've completed.

    Thank you!
