Hello!  We have used JotForm for several years.  We use it for Cruise trips and Retreat Reservations.  We take a deposit payment at the time of the reservations, then we have to bill later for the remaining payment and add-ons.  Until recently, we were able to collect their billing information in a JotForm and bill them later.

    For example:
1- Jot Form Reservation - collects $300 deposit at time of registration online and they tell us if they want a kit.
2- We set up monthly Payments or the remaining amount on a final payment date.  Sometimes, people will call in and make a payment in the middle, so the final payment amount can change.
3- Quilt Kits are billed on a certain date, many times, this can be 8-10 months after their original reservation date.

We use Authorize.net for our billing, so we are able to collect online money.  But we have no idea how we can use this better.  We have a website that allows us to collect their deposit and contact information, but we would have to call each person to gather additional information that we need for these situations and billing information.

JotForm allows us to collect their personal and additional information that we need for the trips, but we still have to contact them for billing purposes.  This is not convenient and doesn't fulfill our needs because we still have to contact the customer.

I know that we can't be your only people using JotForm in this way and I am wondering if you have any suggestions.  Please tell me that you have a solution.  I welcome any help that you can give.

Here's what I understand regarding the workflow of your form.

    1. Initially, respondents will fill up your form and the form will collect a $300 deposit during reservations.

    2. Respondents can make additional payments within a certain period of time and those payments are going to be deducted from the total (final) amount to be paid.

    3. However, you still need to contact the respondents again for billing purposes so you can bill them for the remaining amount (final).

How about you create another form that will collect the additional information and the final payment?

The link to the new form will be sent in a form of an email autoresponder. The autoresponder will be sent from the current form that you have only if the current form is in edit mode (edited) and certain field like approval field (only visible in edit mode) is filled. The new form can also be prefilled and will have a payment field to collect the remaining balance.
