    I have used jotform to create a simple upload form for the university I work for. We have specified that the upload forms go directly to dropbox.

    I have been asked by our legal department to find out if any images and documents uploaded by students will be stored anywhere but our dropbox, so will the documents also appear on jotform.com. And if they are is it possible to only have them upload to dropbox and not to jotform?

    If they will also be stored on jotform we need to include a disclaimer because if the jotform website were to be hacked in to and the documents were to appear anywhere the students had not agreed to this would cause problems for us.

    Hi,

    Yes. The uploaded files will also have copy in JotForm servers for the simple reason that the form and submissions are located also in the server. But you can always delete the submissions with uploaded files as soon as you confirmed they are already copied in your dropbox account.

    So, deleting the submissions with the uploaded files will clear the files from JotForm server, but you still have copy in your dropbox (make sure you have the form integrated to dropbox)

    You can alwasy include the disclaimer at your own discretion.

    Thankyou very much for the prompt reply. Yes I have tested the form a number of times and it goes through to dropbox perfectly. 

    I think the disclaimer will be the best course of action.

    Is there a way to automatically clear data from jotform.com account? So that we are not required to log in at regular intervals and clear data, as we only have limited space on the free account.

    What happens when the 100mb limit is reached? Will the user receive a message stating that the form is not working? Also does jotform notify the account holder when the space is nearing its limit so that we know to come in and clear it?

     

    Thanks again for your help with this. Need to be thorough for my work and want to present this to my boss with as much information as I can.

    Sorry, but there is no automated means to delete or clear the data in jotform.com. It is risky enough to manually allow deleting =) much more automating it. JotForm get complains from customers if data will suddenly disappear for some reasons.

    You can check the submission limit feature to somehow control the incoming range of submissions and minimize the uploaded file accumulation. You can also opt for the flexible paid plans to have more space and submissions.

    When you reach the 100mb limit, the form will be disabled, and the user will be prompted by a message that the form is currently disabled. You will get notification prior to the form becoming disabled. Also, remember that even free subscriptions get the reset feature every 1st day of the month. So, you always have fresh space and submissions every start of the month.
