How can I create multiple approval levels?

Asked on October 17, 2018 at 8:24 PM

I am trying to have this form sent to both the person completing the form as well as the someone else once the form has been completed with both signatures. I have done this before but it is not showing the signature on my end once both signature has been posted- it is showing blank in the tenant signature section----

Here is what I need it to do--

    1. An admin completes the form on behalf of the tenant and completes all areas up to the landlord signature section. The admin places the tenant email in the first part of the form so the tenant receives the copy from the admin...I have the form being sent to info@hbmeonline once anyone completes the form since I need to be be aware that the admin sent the form to the tenant for signature

    2. Once the admin completes the landlord signature, it is emailed to the tenant---now all the tenant needs to do is enter her name and sign the form

    3. The final draft should be sent to both the tenant and the landlord...

Issue- I am getting the final draft but after many testing, I am not getting a draft that has the tenant signature posted--it comes over blank--

    Please help--url attached below

If I understood it correctly, then there would be two parts for your form, one would be an admin who fills up the form till the Landlord section, the other part should be filled by the tenant.

    1. In this cast at first tenant's field should be hidden when the admin is filling up the form. To do this you may add Show/hide condition or disable tenant slides.

    https://www.jotform.com/help/57-Smart-Forms-Using-Conditional-Logic

    2. Add one notification email alert and one auto-responder in your form. One to be sent to the admin users to complete the form till landlord section and the other one to be sent to the user who fills out the tenant section. Following guides should help you:

    Add auto-responder: https://www.jotform.com/help/26-Creating-a-Form-Autoresponder

    Add notification:  https://www.jotform.com/help/25-Setting-Up-Email-Notifications

    3. In the notification email alert, you should add a {edit_link} which will allow your tenant user to be able to edit and complete the rest of the form.

    4. Add a condition in your from to check if the first section of your form is filled then send the submission notification email to the tenant user email address.

    9. Add another condition in your form to see if the second section of the form is filled, then only send the auto-responder emails. Once a tenant user submits the form the auto-responder email will be sent to the user.

The following guide should help you on how to send conditional emails:  https://www.jotform.com/help/167-How-to-send-to-a-specific-email-address-based-on-a-selection

On testing the cloned form I am not able to submit the form on editing the form. I am getting the following error.

I see the original version of the form was in Classic format, there is an Autocompleted address widget which is not supported in Cards format. You may delete this field by switching to Classic forms and then add a traditional address element in the form and then again switch to Cards format.

Let us know if you need further assistance.

    Thanks.

    Hi
I think you may not have understood my dilemma—
The only issue I am running into is the tenant signature is not coming back over populated —it is still showing blank once the form is completed with both signatures attached…once again, here is the issue
    1. This forms sits on my website and is completed by my admin then sent to the tenant for signature…
    2. My admin completes the first section of the form up to landlord signature—by entering the tenant email in the 4th field, this will now allow for the document to be sent to tenant once the admin completes the form signature of the landlord - the form is also sent to send me (Landlord) a copy of the form once my admin submits. This is just so I know my admin sent the form to the tenant incase the tenant says they did not receive the form... currently, this is happening as it should
    4. Once the tenant receives the email, all they are doing is completing the last 2 fields, by entering their name and signing the form. Currently they are receiving the email and completing the last 2 fields (tenant name and signature) then submit— once the tenant submits the form, I am suppose to receive the final draft showing both signature….
    5. This is THE ISSUE- When I receive the form back I see the admin signature but the tenant signature is not showing anything, in one case when I look closely, I am seeing a small diagram in the tenant signature field (sometimes this view would appear if a doc is offline or does not have internet connection- which is not the case for me). I need to ensure that the document shows both signatures on the final draft—can you explain or test the form to see why the return document is not showing the tenant signature—all other email functions is working as it should.

    Additional follow up-
Please review the form—once all of the fields have been submitted—the final draft form looks like this (attached) - pay attention to the tenant signature field.

I am sorry for the trouble caused to you. Unfortunately I am unable to see the file attachment you have sent as we cannot receive attachment in forum post.

I did clone your form and I am unable to replicate the issue in the cloned form. When the form was submitted initially, the email only displayed land lord signature as its a mandatory field. Please check the screenshot below:

When I edited the submission as a tenant by clicking on the edit link, I was able to sign in the tenant signature field and submit form. The auto-responder email and the notification both displays both the signature correctly. Please check the screenshot below:

I would suggest you to please test the following cloned form and see if it works as expected when you receive the auto-responder email on tenant email address:   https://form.jotform.com/82901826078967

Do get back to us if you see the issue in the cloned form as well.

We will wait for your response.

    Ok---
I created a link for you to view the issue I am having- when the final draft if sent with the signature, this is what it looks like—focus on the tenant signature.

    Ok-
I checked again and did the form from my website——IT WORKED—
However this is a concern- when you review the last link I sent to you, clearly there is no tenant signature—
After I did this last test, there is a tenant signature—
How do you explain it? I did not do anything different—

I was also not able to replicate the issue. Is your form embedded in any website. If yes, you may provide us with the URL of your website. Make sure there's no software or extension that blocks images coming from jotform.

While submitting the form please note if there are errors in the browser console.

The form worked this morning- and it has always worked. My issue just started 24 hrs ago and today I was able to complete without any issues—however the tenant signature issue that I expressed to you just started within 24 hrs and somehow fixed itself today— I took the sample and sent to you because this is an issue where it’s not showing the other signature

    Hi,

There may be some reasons such as embedding in a website for this issue. As my colleague said, you can make sure there's no software or extension that blocks images coming from JotForm.

We are happy about the issue is fixed. If the issue occurs again, let us know. Thank you for reporting.
