Edit existing submissions but submit it as a new submission?

    I read that it is possible to have a respondent revisit their original submission to make changes and save. However, I was wondering if it was also possible to do something a little different -- instead of having them overwrite their existing submission, is it possible to have them duplicate their existing response, then modify the copy as a new submission?

    This is important because in our longitudinal study, we want to retain all versions of their responses at set points in time. Here's a general diagram to visualize what I mean (in the hypothetical scenario where a respondent would be asked to complete the same form every 30 days, with access to their prior submissions and their last submission auto-populating in their newest survey submission):

    I guess this would also lead to another related question on longitudinal study:

    Is it also possible to have a respondent access previous submissions based on an ID? So if the form had a unique identifier field, then when the respondent is filling a new form, it should look up and return links to previous submissions based on that unique identifier field (if any).

    Hi Richie,

    The resource that was provided seems to only allow us to resume an existing form submission. I'm looking for a solution that allows me to create a new form submission that pre-populates data from a previous form submission, which essentially duplicates the record in the dataset, but allows us to modify the duplicate. That way, we have 2 distinct records, with the second being based on the first. Does that make sense?

    Sorry, but that's not possible.

    A workaround I could only think of is to use prepopulated URL with data from the first submission. You can use this app to generate the prepopulate URL https://prepopulate.jotform.io/

    Thank you for your response. That is unfortunate, but I suppose it's a small price to pay for everything else JotForm DOES offer.

    I can only submit this as a feature request but it's probably not going to be implemented soon since we consider the number of users requesting the same feature. Anyway, once this is implemented in the future, we'll let you know here.

    Hi Elton,

    Thank you! On that note, I have to believe that more than one user has asked my second question (which I think was missed in my OP), since it's extremely common practice in research...

    Is it possible to see previous submissions based on a unique ID in JotForm? In a database, basically I'm asking about forming a one-to-many relationship, where one respondent could have many submissions. I am seeking a way to show the respondent in the actual form ALL of their previous submissions. Is that possible?

    Note that the submissions could either be for the SAME form, as well as for other forms. The relationship between respondent and their submissions would be forged through a unique identifier.

    Yes, that would count. As far as I know, there aren't enough requests relating specifically to this feature since updating existing submission is most preferred.


    You can use the submission ID to view specific submissions through a URL.


    Use this URL https://www.jotform.com/submission/SubmissionID

    Where SubmissionID is the actual submission ID from your form.

    Thank you so much for that resource, it will definitely help as an alternative to what I was asking for! However, I have a question about that resource (I made a comment in that same resource, but I wasn't sure if those comments are actively tracked, so I'm posting the question here too):

    Is there an expiration on the submission link, and is there a way to password protect it, or could respondents view it perpetually? Just wondering about this, especially in the case of HIPAA-protected data, since wouldn't there then be a risk that someone could view all that protected health information if they just stumbled upon that link?

    There is no expiration for the submission link unless the submission has been deleted. Unfortunately, there is no option to password protect the submission link.

    For HIPAA forms, only the account owner can edit/view submissions. You can also set the field to be protected.

    Hi Richie,

    Thank you for your response. It is good to hear that HIPAA forms cannot generate a link to view submissions. I assume they could still download a completed HIPAA form submission as a PDF though, correct? (This is important, since I need respondents to have the ability to keep a record of their own submission for later review.)
