How to generate a customer form from a staff form?

    Hi guys

We are wanting to create a form that our STAFF complete online (through our WordPress website), which then generates a costs agreement page for the CUSTOMER to view.

This costs agreement would have a few form fields as well as a bunch of text that the CUSTOMER then needs to complete and sign, with credit card payment option.

Is this possible with JotForm, and/or some add-ons?

    Thanks in advance.

Yes, it is possible in Jotform. Here's what you need.

1). Create the basic form with fields needed

2). Use Jotform's payment app then integrate it with your payment account. For basics, please check this guide https://www.jotform.com/help/47-Order-Form-Basics

    3). Add a signature widget https://widgets.jotform.com/widget/signature

If you have further questions, please let us know.

    Hi Jed

Thanks but not sure you have fully understood.

We need a form that generates another form for the customer to complete.

    The process is:

Our STAFF fill out a Jotform on our website (behind a hidden login)

The Jotform generates a Costs Agreement for our CUSTOMERS.

Customer receives a link to view the Agreement.

The Agreement contains form fields that need to be completed by the CUSTOMER (signature, accepting terms and conditions, payment for card, some other basic data form fields).

Customer pays and the form generates a final, non-editable PDF.

You can create two forms, one form your STAFF and one form your CUSTOMERS. Your STAFF form should have an email field where your staff members can enter the email address of your customers. You can then send a link of the CUSTOMERS form to your customers via the Autoresponder Email when the STAFF form is submitted.

You can edit the email template to remove the table and add the link of your other form.

How to Edit the Email Template for Notifications and Autoresponders

Once your customers submit the form, you can send them a PDF report via the Autoresponder Email by enabling the PDF Attachment inside of the Autoresponder Email settings.

You can also customize your PDF report.

So how does the customer form pre populate using data from the staff form?

It needs to include the data entered by the staff (1st form) as non editable data as it is a legal costs agreement document.

To understand how to pass data from one form to another, I recommend reviewing this user guide:

How to Automatically Pass Form Data to Another Form

It needs to include the data entered by the staff (1st form) as non editable data as it is a legal costs agreement document.

This is doable by setting the target fields in 2nd form as Read-only fields. You can still prepopulate the fields in 2nd for even if its on Read-only mode.

This can be a bit complex but I suggest you start by creating first the 2 forms you will need. Then we can guide you later on the workflow process.

Thanks Jonathan we will review and create and test as you suggest.

Does JotForm also have the ability to set custom statuses and log the status of each form (e.g. Draft, test sent, sent to client, signed)?

We will wait for your updates on requirements for this thread.

Your next other question was about a different feature, so we will resolve it separately here https://www.jotform.com/answers/1760410
