Encrypted Form: Ability to delete the submissions and the email history in user's profile monthly

    Thanks for getting back to me.  I was wondering whether there is something we can do as a temporary measure to permanently delete client submissions from Jot Forms once we have downloaded the information to our servers?


    I understand I can delete them from the submissions area, but this doesn't permanently delete them does it?  The goal for us IS to permanently delete them.

    Yes, on deletion of the submission data will delete the data permanently. We do not store the data on our end.

    Before deleting the data please take the backup of the data.

    Hi there

    My understanding was you could retrieve the data from the accounts "settings" area in "history".  See https://www.jotform.com/answers/1718321-Auto-delete-submissions-application-Encrypted-forms-Unable-to-access-encrypted-submissions which is where I got this information.

    Can you please advise?

    Unfortunately, you have used the auto delete app https://apps.jotform.com/app/auto_delete_submissions in your encrypted form.

    As what my colleague have said, we cannot retrieve the data at our end once the submission data is deleted.

    The history settings is for your notification email data. You may check your notification email for the submission data and convert it to excel/CSV file to be uploaded back to your form

    However, this feature doesn't work in your form as you have used the auto delete app.

    Hi - no we haven't used the auto-delete app.  if you look at the thread, in https://www.jotform.com/answers/1718321-Auto-delete-submissions-application-Encrypted-forms-Unable-to-access-encrypted-submissions, we can't use it because it deletes the data BEFORE we have had a chance to retrieve it.  i.e. the email we get DOESN'T contain an attachment, it only contains a link to the data, which is gone before we click on the link.  So, we can't use the auto-delete app.  Hence this question - we want the data to be permanently deleted, however because we can't use the auto-delete app, we need a work around so that our data can't be retrieved from the "history" area.

    As mentioned on that thread the autodelete app will not work if the form is encrypted. If you want to use it with encrypted forms, you will have to wait until our developers resolve it.

    The only possible solution that I know if to permanently delete the data and that the data can't be retrieved from the "history" area, is to turn OFF form encryption, delete the Email Notification table and to attach a PDF report to the email. 

    How to include submissions as PDF attachment in the email notifications?

    This way you could also use the Autodelete submissions app.

    Hi there

    Thanks so much for your response.  I understand what you are saying.  Is there any way, as a temporary measure until your developers resolve the issue, that we could get you to permanently delete data from your end at our request?  

    For example, perhaps we could send an email once per month requesting the history all be deleted?

    So you want your Form to be Encrypted and also able to delete the submissions as well as history when it is Encrypted?

    We can request our developers to delete the submission and the history from your account based on your request. Please confirm us so that we can send this thread to our developers.

    I would like this to be done monthly or so upon my request.  Is that possible?

    Let me forward the thread to our backend team as a feature request for evaluation. We cannot provide an ETA for implementation if accepted at this moment. This depends on the developer's availability and the number of users requesting the same feature.
