You have the Auto Responder work when a certain condition is match. Here's your settings;
The Auto Responder will be sent when the "Approved by Student" field "Is Filled". Please kindly remove this settings if you want this to automatically work after submissions.

thanks - that's fixed that problem.
Is it not possible to have two auto-response emails - one when the form is filled in by the customer and one that is sent when office use only boxes are filled in by us?
I thought i had that set up in the preferences but don't seem to be getting the emails through

That is possible. Just please repeat that condition for the office use only field but I suggest you to create a separate Auto Responder so you can customize the messages per conditions.

thanks. but it doesn't seem to work - even when I send it as a test I don't receive it.
It is the email I have down as authorised

Hi, I checked your form, and noticed that both of the autoresponder e-mail are using condition.
From what I understand, you wanted the autoresponder to alwasy reply back to customer with any condition, and another autoresponder base on a condition.
You may want to removed the condition on the "Thanks for submitting" autoresponder and simiply make it an autoresponder (the email will always be sent to the Email Address)
In case you are referring also to the Test Email button when testing your form, the email for that test will only always be sent to your account email address. If you want to test the form, you will have to submit it in actual.
Please inform us if you have further inquiry.

I have looked and have no conditon attached to first auto responder - I have deleted it and reformed it and it still says it is conditional but I cannot see any conditions in the conditions field that are attached to this email.
You are correct - we want the thanks for submitting email to go to everyone and then a your event is approved email to be sent once we have completed an additional field.
In regards to the test email I know it should go to my account and it says sent to my email address but I never receive it

Hello I went ahead and doublechecked on this with your form and I can see what you are referring to as I was able to replicate the problem after removing the email and adding it again.
I then removed all of the conditions to test out what would happen and found that this made it go back to normal which leads me to believe that the condition was only modified and not removed which results in that problem of it not changing back to normal.
If you are not receiving the email notification itself then I would recommend that you refer to this guide here http://www.jotform.com/help/208-How-to-setup-email-alerts-to-prevent-emails-not-being-received-issues to help correct any underlying problems for that part of it.
As for the conditional email correction I would recommend cloning your form and then on the cloned form remove all of your conditional emails to start to see if that corrects it otherwise you may need to remove all of the conditions and then add them in again to rebuild it just to correct it.

I've tried everything you suggested and am still having difficulties with this.
If I explain, what I want is to have an approval process for the form when it is submitted so that the person submitting the form knows when their event is approved and so that we can keep a record of what events we have approved.
I want to be able to send a response to the student automatically when the approved by field is completed by a staff member. It is this that is the only thing that Iam now struggling with as all th other notifications seem to work.
We really want this to work and we are about to upgrade our subscription but this is a bit of a deal breaker for us if we can't get this working.
If you can help that would be ace

As far as I understand, you would like to 'approve' the submission from a form Submissions page using the 'Edit' option. This is possible, but we do not send the Autoresponders on the form edit action (we send notifications only). To solve the issue you can simply replace your 'Event Approved' Autoresponder with the standard Email Notification.
You can also flag approved submissions.
If you need any further assistance, please let us know.
