Google Sheets: Delete data in sheets when a submission is deleted.

    hi,

    on jotform sheets  (see this sheet--> https://www.jotform.com/sheets/92185012692153 ), i have 2 columns of which i need a sum. specifically the "#mens seats" and the "#ladies seats" columns. i do not want to download all as a CSV and then sum the columns in question. what i want is to feed the total of the two columns to a google sheet, for example. i have tired google sheet integration. it is a possible solution. HOWEVER, when a submission is deleted, the integrated google sheet does not pickup the delete. the submission remains. it does pick up new submissions but not acknowledging deletes is an issue.

    Google sheet integration works when the form is submitted. This means it will keep on pushing the new submissions to the sheet, however, deleted submissions will not be detected. If you would like, I can raise this as a feature request with our backend team. 

    I am not sure if you are trying to perform the calculation in the external sheet, instead, you could do that on the form itself with the help of Form Calculation widget. In the submission sheet, you can hide columns that you don't need and only use the ones that you need.

    Is it possible to speak to someone?
    I do not understand.
    My problem Again: There is questions on my form which requires an answer with a number from 0-12. Assume I have 50 submissions. I would like to know the sum of the number entered for ALL forms. As more submissions come in, I need to be updated with the new total. As submissions are deleted I need the sum to be reduced as well. How?

    Unfortunately, we do not provide support on call. Let me try to explain this in simple terms.

    You can send the submissions to google sheets by integrating it with Jotforms but when a submission is deleted, that particular entry will not get deleted from google sheets.

    This means when the data is removed from Jotform, it is not removed from integrated services. This will allow users to keep a backup of their data on other platforms. However, I'll submit a feature request to see if there is an option that can be added to allow deleting data from integrated Google spreadsheets when the data is removed from JotForm.

    I cannot say when this functionality will be implemented but we will get back to you as soon as we have any updates on this.

    Is there another way to solve my problem?
    Let me elaborate on my issue.
    I am taking reservations for a venue with 185 men’s seats and 164 ladies seats available.
    As submissions come in requesting various amounts of men’s and/or ladies seats I need to track the total # of seats requested. As submissions are deleted because of cancellation, the cancelled request means that seats are added back to what is available.
    I need to be able to see the # of men’s and ladies seats available in a live manner. I always need to be up to date on availability so that I can disable the form when requests have reached total availability.
    Of course I can download my submissions into a CSV file and add the total of men’s and ladies requests, but that is a cumbersome solution and further is very difficult to do on my phone.
    If the google integration were to track the exact submissions including those that were edited or deleted that would make for a very easy solution. I would be able to sum the appropriate column on the google sheet integration on another tab in the sheet. If I need to see reserved seats I can just open the google sheet and the sum is always live.
    So that’s my issue and any solution would be helpful.
    1 more question. Does google integration track an edited submission? Say a submission were to go from 1 men’s seat to 2. Would the integration update the submission with a 2?

    Thanks for giving explaining your requirements in detail. Edited solutions can be tracked with Google Sheets integration, however, deleted submissions are not. 

    The way you have currently designed the form it looks difficult to calculate the total number of seats because google sheet integration doesn't update when the submissions are deleted. 

    I can offer you alternative solution of using one of our widgets that are designed for booking/reservation/inventory purpose. 

    1. Inventory widget. You can manage every seat with the help of this widget.

    2. Appointment slot widget. This widget can be perfect for showing number of seats available for men and women.

    The good thing about these widgets is that, if you delete the submission records, the associated slots will be released.

    I found that when a submission is edited and the submit button is clicked the google integration picks up the edit.
    This is true only when using the classic submission view.
    When using the new sheets submission view and editing submissions within sheets the info does not push to google integration.
    So for my initial question I found a workaround. Always use classic submission and never delete a submission. Void it by entering 0s in seat request field and placing the word void in the name fields (of course using classic view and clicking submit after edit).
    A new question has arisen regarding the sheets view. What is its purpose if editing does not push to google, does not push to the person who submitted? I guess it is for “back office” type of data entry only? Data not meant to be seen by those who submitted?
    Is there a way to push edits made in sheets to the one who filled the form?

    Edits in the sheets view are not considered as submissions, hence, it does not trigger the Google Sheets integration.

    Since your form acts like a reservation form where you have limited number of slots for men and ladies, have you tried my colleague's suggestion? I highly recommend using the Inventory widget as it will save you from all the unnecessary edits.
