Does Jotform have the ability to have multiple users complete the same form?

    Good morning,

We're a software services and reseller company and whenever we sell a software package we have a lengthy pre-installation site survey that must be completed by the customer.  In some instance, specifically when a hosting partner is involved, the partner fills out some portions and the customer fills out the remaining portions.  Does Jotform have the ability to have multiple users complete the same form?  We currently have about 8 different site surveys depending on the nature of the project and all of the forms have this requirement.  We need to be able to invite people to a form so that they aren't publicly visible to prevent spam submissions too.

    Thanks!

    Damon

There is a way to have the form filled by multiple users, basically by sharing the edit link via notifications and autoresponder: https://www.jotform.com/help/40-How-to-Let-Users-Update-Their-Form-Submissions-at-a-Later-Date

This notifications can be triggered based on conditions: https://www.jotform.com/help/167-How-to-Send-Email-Based-on-User-s-Answer

So the first user, or one of us, would be able to forward the link to the customer after the partner filled out their portion?  That's the normal order... the partner should fills out their section and then notifies the customer it's their turn.  I don't think they ever do it concurrently.

I will need the form to verify that all questions are answered before submitting it as complete and we do have a process for approving forms.  Right now we are using a portal custom written for us in PHP for this but it's relatively buggy and the developer that created it for us has disappeared which is why I'm looking for an "app" solution like Jotform.

Conditions have the option to send notifications if fields are filled. So, in order to see if it is possible to accomplish what you need, could you specify what's the form where you want to implement this? Also, how would the form fill process flow?

    1) Who initiates filling the form and submits it for the first time?

    2) Who should receive the submission when it is submitted for the first time? What fields should this person see and not see?

    3) What happens after this person submits it again?

Unfortunately I don't think the split is exactly the same each time so I'll probably have to split the form into several parts and have it send out the edit link at the end of each section in case it's handed off to someone else at each point.

The way our existing PHP portal works is that users have to create an account within our portal on our website and then we assign multiple users the same form so they can collaborate on its completion.  I believe the partners, for the most part, are telling the customers that they have completed as much as they are going to complete and then the customer goes in and fills in the rest.  I'm trying to get as much information from our partners as possible on how much they normally fill out so I can work up a logical split to the form.  As it stands right now either the customer or the partner initiates the form and once all questions have been answered they can submit it (our current portal verifies that each question has an answer and if it doesn't it does not allow them to submit it but they can save and continue later).  It then notifies our installation department that a form has been submitted, they view it, ask questions if they need to, verify answers, etc, and then approve it or notify the customer that some things need to be reworked.  Once approved it is emailed, in its entirety, as a PDF to the installation team and the project moves forward.

As of right now all steps in the process are approved by the same person in our installation department and she reaches out to other departments if she needs approval first for whatever reason.

Our forms cannot be filled simultaneously by multiple people. Basically, the person who fills the form needs to submit it, and depending on the conditions you have created, it will be sent to the next person.

All is basically explained in the form approval workflow guide we have created here, please give it a second look: https://www.jotform.com/help/432-A-General-Approach-on-Building-an-Approval-Process-Workflow, it also covers the part where it notifies the initial submitter if it was approved or declined.
