When to use 'Send on Edit'

I'm not sure about 'send on edit' in the form approval workflow setup.

I have a form for PTO/vac request, the autoresponder goes to Requestor, and to managers.

When the request is edited (Approve/Deny), the Requestor and managers should get an Approved or Disapproved autoresponse. Which they do get.

But There seems to be extra email(s) after approve/deny.

I'm not sure which auto-responders should have "Send on Edit" and which do not need that enabled.

    Thanks for any guidance....

The send on edit option must be turned on if you want to send the emails after editing the submission, for approval workflows this is required, for example, the submission is originally sent by the submitter and then it's sent for review, once the reviewer either approves or denies the submission this counts as submission edit and here's when the emails are triggered.

I would recommend you to double check your conditions and make sure the email addresses are not repeated, kindly note that if you're using the same email address to test your form than any of the ones set up on your conditions, then you will receive double emails.

Kindly test your form using an email address that's not used in the conditions so you can see if the same issue happens.

Let us know if the problem persists.

So, if I have conditions with emailAddresses associated with them (managers), and notifications with emailAddresses associated with those same recipients, will this cause doubled-up messages?

(Can you see the conditions and notifications I've setup?)

Sorry I'm being dense on this :)

Yes, if the same email address is added on different conditions and both are met, this recipient will receive both emails, if you have an email template that's not conditionally sent, but it includes the email address from the conditions, the user will receive this email as well.

As I can see your conditions, the email address "ja*na@jka***ons.com" is included on different conditions:

Note that condition 1 will be always met, condition 2 and 4 may also be met and on this case two emails will be sent to that address.

I would recommend you to evaluate if you need the first condition, otherwise you may delete it.

OK, yes...they (managers) all want to know when the form is filled out, so one of them can approve the vacation. And then they all want to know when the form is approved (by one of the other mgrs), as well as when the form is denied (buy one of the others).

I'll find out what they mean by "we're getting duplicate emails) tomorrow, when I see them. Thanks
