    14 Day Subscription Trial Option on Payment Forms

    Hi there, I am trying to integrate my form with either Freshbooks OR Google Checkout and there seems to be issues with both.

    When I use Purchase Order as the payment option and have Freshbooks as an integration it does not function correctly. I would like to set a 2 week trial, however that is not an option (not a big deal, but would be nice to be able to do for 14 days or 2 weeks, but for now I am just using 15 days). Anyway I am setting up the subscriptions in Jot Form. There are 3 subscription packages for people to choose from and each are monthly subscriptions that have 15 day trials (although I would prefer to use 2 weeks/14 day trials).

    When I save the Purchae Order info, which I set to £ and setup the subscriptions and then integrate Freshbooks I expect it to work, but after testing I can see that the invoices are automatically created after the forms are submitted which is nice, however the free trial is ignored and the invoices are dated sraight away from the same date they are filled in and not in 15 days time when the free trial expires. Also the recurring subscriptions created in Freshbooks are set to weekly and not monthly which is of course a major issue as its a monthly subscription service and not weekly.

    Google Checkout functions much better than Freshbooks. I set everything up correctly with the subscription packages in place and set the currecny to £. I am able to set the 2 week/14 day trial that I want to use and it all looks fine. The only issue is that VAT is not added to the order total. As I am VAT registered I need to charge VAT to all of my orders.

    Please can you help me solve the issues for Freshbooks and Google Checkout so I can use both if needed?

    Also Freshbooks is creating a standard invoice straight away which is for the monthly fee even though im offering the free trial. A recurring invoice is also created straight away for the monthly price. This means there are actually 2 invoices for the monthly price which is not good.

    Hopefully someone can help fix this a.s.a.p.

    HI Jamie and thanks for letting us know about this problem. 

    For the issue with the 14 Day trial all that we currently offer is what you see listed in day increments with one of them being a day longer, 15 days instead of 14 but if you would like we can request this on your behalf by adding it to our features request list for consideration to be implemented.

    Now for the freshbooks issue in regards to this I found that this should automatically create an Invoice however, it also sets it up as Recurring so therefore it only shows the Creation Date instead of the Recurring Date on the invoice. I'm not really seeing at the moment a way to control this other then to put a notice which is technically already given upon product selection stating that the charge will begin after the first 15 days then the notice for the starting month should begin as a new Creation Date which is logged as recurring as well. I would like to request you to please open this part as a separate thread so that we can address it by itself and we will continue to look into this more into the meantime since I think this would require something more either on our end or freshbooks.

     

     

     

    As for the Google Checkout, I looked up VAT on Google and from what it says there in the Google VAT Documentation it should be automatically included in your charges if you meet certain standards but if it's not then you have to fill in a form to alert them of this according to the google information.

    I tried to back-read on the discussions between you and my colleaue KadeJM, but I could not understand the part on the 14 day/2 week trial  trial issue. 

    Please tell if this is the trial period for Freshbooks?

    Perhaps you are refering to the Purchase Order Subscriptions trial period?

    I don't think JotForm can have say on the trial periods in Freshbooks.com.

     

    In Freshbooks, you can create a recurring profile and set a recurring schedule for it. You can choose weekly, bi-weekly or monthly then.

     

    You can also prevent the instant sending of Invoice by editing the profile preference (in Freshbooks) and uncheck the Send Automatically option

    I hope I was able to answer you properly.

    I will forward request ticket once we get clear of if its the Freshbook, or the Purchase order subscription you are referring to.

    I do apologize about my delayed response. I went ahead and contacted FreshBooks to try to figure this out  more for you and so they recently responded to me with this answer below. Also I am forwarding your request to our developers to see about having a 14 Day Trial added.

    Also they've confirmed in the email that this is something that cannot be done within Freshbooks either because of the design. It might be possible to do this with some API Calls but I can't necessarily guarantee it will work as expected without playing around with it some more first.

    Hey Kade,

    Thank you for your email!

    From what you're telling me, it would be possible to create a recurring
    profile at the time your client signs up to JotForm - and set the date for
    that profile 15 days in the future. So after the 15 day trial the invoice
    would automatically be generated and sent off. You can use the API calls
    for recurring profiles found here:
    http://developers.freshbooks.com/docs/recurring/

    However, there's no feature in Freshbooks that allows you to send out a
    notification a certain time before an invoice is sent out. All email
    communication is linked to a feature (invoices, estimates, etc) from
    within Freshbooks - so there's no separate feature that allows only email.
    So in short, the recurring profile would work - the notification wouldn't
    be possible at this time.

    OK forget the free trial issue for now then if that is a little more complex.

    So how can I get it to setup the recurring 'monthly' profile when the form is submitted? And should there be 2 invoices created or not (1 normal and 1 recurring)?

    Jamie, no problem I can retract that request if you wish.

    As for the Invoice issue, the way it is set up currently because of the way FreshBooks is designed in it's setup the system is automatically going to create 2 Invoices within FreshBooks due to that.

    The 1st will be the Invoice itself and the 2nd will be setup as a recurring base to continue to send it out since it is sent into FreshBooks as a recurring charge so that is why this happens and I am pretty sure that there will be 2 appearing because of this. And unfortunately we have no control over how FreshBooks handles the invoice creation in this manner. However, if no subscription is created then it would only create 1 regular Invoice to be used.

    If myself or one of my colleagues are able to figure out something else that may be better we will get back to you about this as soon as we can.

    No please keep the request, I still want the 14 day trial with Freshbooks, but it seems it may be difficult to implement for now.

    So why are my recurring invoices being set as weekly subscriptions and not monthly when I am specifying the subscriptions as monthly from within JotForm?

    I am thinking it may be best for me just to have new signup details added to Freshbooks and I will then just manually create the recurring invoices myself for now as the Freshbooks invoicing integration is not working properly.

    Please do help me try and solve this though so I can try and get it sorted and working.

    This part, is happening in Freshbooks right? I believe, your specifying the subscriptions as monthly in JotForm does not affect the recurring invoice schedule. 

    Did you set in Freshbooks recurring profile the "how often" option to monthly? 

    Please try changing that, then test again if similar issue still happens.

    Hi Jonathan,

    But why would I ceate a recurring profile? I thought the whole point is that JotForm creates these automatically when a user submits the form? When setting up a recurring profile you need to specify which client it is for so you cant use them for multiple clients.

    Yes I could go in and edit each one so it says monthly instead of weekly but that defeats the object of it automatically creating the profiles.

    Please explain more how I can get this to work?

    I also want the invoices to be emailed excluding the first one. Is this possible?

    Hi Jamie,

    I got your point. If I am correct in understanding, you meant that this recurring option(Trial period) in the form should have been the recurring option followed by Freshbooks.

    Please correct me if I am wrong on what I understand.

    If this is it then, I'll tell you that this option in the form is not the same to the recurring option in Freshbooks.

    This Trial period in the form is only for JotForm. Even if this form is not integrated to Fresbooks, it will still work as a recurring trial period.

    When you integrate the form to Freshbooks, its purpose is to create the invoice for the submissions. I don't think the integration itself will create a recurring profile in Freshbook automatically. The other functionality/features should be setup within Freshbooks only.

     

    I also want the invoices to be emailed excluding the first one. Is this possible?

    From what I see, you can set this in Freshbooks preferrences settings.

    Please take note that the form's notification email is again different from this one.

    Hi you are correct with the request for the 14 day trial option, that is what I would like as that is what I offer and I dont want to have to select 15 day trial instead.

    I am now just having the contact details be added to Freshbooks as a new contact and then I will manually login and setup the recurring profile to start 14 days after the date of sign up and be automatically emailed to them.

    I cant think of a way for this to happen automatically.

    Please can you confirm that the request to have the 14 day trial is in process and when do you think this will be ready? Will I get notified when it is ready?

    Hi Again Jamie, I've left your request to add the 14-Day Trial in " Open " status for our developers to look into adding just to clarify so that you are aware of it since I never canceled it. :)

    And yes when something like this gets considered and added we will notify you via the same thread (this one) where we will tell you that the feature has been added. I won't be able to say if or when since it is up to them to add this but they will get to your request as soon as they can and we do thank you for any patience you can give us until then.

    Additionally, I have not yet figured out a way to control what we spoke of before involving the automatic generation of a recurring and post-dated charge for the timeframe but I am still looking into it for you. Perhaps our Developers may have some added input on this as well.
