Onboarding Email for new volunteers or employees

    Hi Team,

    We have about 75 volunteers and 20 part time employees we keep up with. Onboarding a new volunteer or employee is time consuming for us; therefore, we have created a one stop form for our office staff to notify our new volunteers and employees of what is required of them to start.

    Currently the jotform we have setup is completed by the office staff for a new volunteer or employee. We select the required items each volunteer or employee needs (not everyone needs the same items). This is the problem = As we check these items Jotform is setup to send out ONE individual email for EACH of the items we have checked off.  A new employee or volunteer could receive up to 9 NINE emails from us. This is very confusing to our new employees and volunteers. 

    Is there a way our office staff can check off what each employee/volunteer needs and all of the "needed" information can be on 1 ONE email.  For example new volunteer arrives they only need welcome note / workbright reminder / child protection / reference check. All of the other items we did NOT check off DO NOT show up on the email that is going to be sent to the new volunteer or employee?

    Look at our form below to see how we currently have this setup. 

    Can we make this have ONE email with only the information we checkoff from the form? Everything else disappears if it is NOT checked?

    Yes, you can use Show/Hide field conditions to display required fields based on user response.

    Then you can create an Autoresponder email and enable the Hide Empty Fields option so only the fields which user filled will appear in the email.
