Edit Email Template - Notifications - Autoresponders

    Hi,

We tried to change the table layout in the email content, we did this by moving the items around so it was in an order that made it easy for staff to enter the data into another database, however when we did this, the result was not as expected,

Hidden entries were now visible, entries were missing etc.

We cloned the email and then changed the table on the clone form putting the fields in the order we needed by using the form fields button.

Why would it now behave different just because we changed the order

That is what we did, and what happens is not that,

As the original email says when we modify the emailed table "empty fields are no longer hidden as per the settings"

    Please read the original ticket,

1 - We know how to edit the table,

2 - We were asking why it was not working as we already followed these instructions and spent many hours reading how to but the end result is the same, a change in the table is not correct,

The Form Builder auto-updates the email templates. However, if you do any modification to the table, it will be considered as a custom template, and the Form Builder will stop or disable the auto-update.

What does that mean? It means some common scenarios are:

    a. Why am I not seeing some fields on my email?

    b. Why am I still seeing old, deleted fields on my email?

To fix template-related issues, a sure-fire way is to just delete it and re-add a new one. This will add a new default template that contains ALL the fields. And from there, just modify the email content as you see fit. Alternatively, you can manually add/remove fields on the template.

This has been discussed as well in the guide provided by my colleague above: How-to-Edit-the-Email-Template-for-Notifications-and-Autoresponders

IT IS NOT WORKING LIKE THAT, when we do this and test it the emailed form is showing fields that should be hidden,

We have tried to do a new template from scratch by adding the fields in the required order and when we test this it shows fields that should be hidden.

Your a and b do not match the fault we are describing, we are referring to fields that should be hidden that are not hidden

We have created at least 5 templates, some from scratch and some default ones, then move the fields to where we need them. and when tested the hidden fields ( no data ) are now shown and should not be shown, in the settings it is set to HIDE so therefore there appears to be an issue.

Please note that by default, if you do not alter anything on the email template, the system will automatically hide empty fields.

However, if you have customized the email template, the system will treat it as a custom template and will display the data as-is, regardless if that field is empty or has data. The system respects the changes you made on the system and will not alter it.

If you need the data to be displayed on a certain order, I suggest changing the field's order on the form itself. Once done, you can then create a new email.

So there is a fault in your systems then, this is in the settings

What you are saying is if we modify the email content table it will not hide empty fields as per the settings,

Which goes against your own guide (https://www.jotform.com/help/430-How-to-Edit-the-Email-Template-for-Notifications-and-Autoresponders

It does not say that fields can not be hidden, and there is no message  under your own settings, considering this is a dynamic form, one would think that if a user modified a form this switch would be hidden so there is no option to hide fields which goes back to

Why does the settings say we can hide a field, and then not hide a field when selected. Your answers all to date are not addressing this, there is no mention in your online documentation to indicate that fields can not be hidden on custom email tables..............

As empty fields are displayed in received emails

When you modify the email template, as a respect to the layout/format you have created on your email, the system will no longer remove any texts that is in there. Basically, the system will not alter once something has been customized.

Nonetheless, you are right, thank you for pointing that out. Will coordinate this one to the proper team to update the guide.
