    How can I send auto confirmation emails to the applicants?

    Hi,

     

    I was wondering if there's an option on Jotform to send auto confirmation emails to the applicant after he submits the form. Please let me know how to set up that feature.

    Hi,

    I believe that what you want to implement is an autoresponder, which sends a confirmation email to the people who have submitted in your forms. 

    To create an autoresponder, you may want to check this user guide on how to create autoresponders for more information. Let me know if you run into problems while following that user guide or if you have other questions.

    Hi cakes,

    This is currently not possible with JotForm. But you can include a tracking link or a link to your external tracking page in your autoresponder email template that your users can click once they receive your autoresponder email.

    How can we do that? (the tracking link)

    Also will we get a message back to us saying that they have clicked on the link?

    @cakes,

    I think what you want to implement can be done by creating another form which will serve as the confirmation page.

    Here's a workaround :

    (for the sake of clarity, I will refer to this other form as confirmation form. The real form will be referred to as original form)

    Create a confirmation form with only a hidden box (labeled "subid") and a submit button (renamed to something like "Confirm")

    You can find the hidden box tool under the Power Tools section.

     

    Your confirmation for should look like this:

    Next, get this form's url by clicking the Preview button in edit mode.

     

    Then, append "?sub={id}" to the url.  {id} will automatically be replaced by the ID of the submissions made on your original form

    For example: https://www.jotform.com/form/12104443628?subid={id}

    Insert this url in your original form's autoresponder email. Highlight this url, click the link button in the Compose Email wizard toolbar, then copy the same url in the insert/edit link popup.

     

    Here's how this works.

    User submits on the original form. Autoresponder email is sent to the user with the confirmation link.

    User clicks this link which prepopulates the hidden box in the confirmation page with his submission ID.

    After submitting, a notification email will be sent to you containing the confirmed submission ID.

    You will need look up the submission ID in the original form's submissions database to see the full details of the submission entry that was just confirmed.

    One more question:

    WHen the user confirms their email we get their id but from where can i see the id in the original form they have submitted?

    Its says here that "You look up the submission ID in the original form's submissions database to see the full details of the submission entry that was just confirmed."

    BUT I CANT SEE THAT?

    Please assist!

    Another thing:

    Can i embed the confirmaton form into my site Eg: www.example.com/confirm

    and put the id next to it eg: www.example.com/confirm?subid={id}

    Will this work or not?

    @cakes

    Yes, it will work as long as you embed the confirmation form on your site using Source.

    To get the form's source embed codes:

    1.  Go to Setup & Embed tab
    2.  Click Embed Form
    3.  Click Source



    4.  Copy the codes provided in the succeeding screen

     

    Iframe or script embed will not make the subid prepopulation work for the confirmation form.

    Hope this helps.

    Thanks. Im not going to do it this way!

    In the older way when i viewed both of the codes the last 2 numbers where different.

    I tried 5 times and in the confirmation submit email it had 15 in the last 2 numbers and in the original form the id was 20 in the last 2 numbers.

     

    Is this normal or is there a way to correct it?

    @cakes,

    First off, I'd like to apologize for the long wait.  I tested this solution for a couple of times after you have posted your last message.

    It appears that you are correct. The last two digits of the submission ID passed differs from the actual submission ID of the original form.

     

    To avoid this issue, you may insert a unique id field in your original form and name it as "subid" for easier reference

     Insert that field's identifier instead of the {id} key in the email alert. 

     

    This will generate a unique number for submissions on your original form and then pass it to your confirmation form.

    There is no reason for the ID passed to be dfferent from that in the original form's submissions page.

    Hi there,

    The ID can be customized to any length you want, this is through adding zeros and prefixes to your ID Number. For example, you want 8 digits in your unique ID, select 8 in Unique ID's properties under Number Padding. The outcome would be "00000001".

    The Unique ID number will automatically increment its value whenever a form is submitted. Hope this helps.
