Unique and anonymous submissions

    Hello, I need your support to manage an online vote for the renewal of the board of our alumni association.

    These are the features I need to set:

    - the answers must be anonymous
    - each voter can vote only once
    - above all, only our Alumni can vote, i.d. only the people (alumni) who receive our invitation via email can access the form and vote; the form link cannot be forwarded to other people, so only the 2,000 pre-approved email accounts can vote (is it possible to generate an OTP to access the vote or something similar, linked to the 2,000 emails of the voters?)

    Is it possible and how to organize such a vote through Jotform?

    JotForm collects only IPs and the date of the submission for each person who submits the form. All other information is optional, and you decide what information you collect.

    each voter can vote only once

    You can limit the votes by IP and cookies. By doing so, the system will check if the users already voted from the device and network, and disable the submission if they already voted.

    only our Alumni can vote

    This can be achieved in several ways. Firstly, you can set a password to the form. This way, only users who know the password will be able to access it. Another way would be to assign a form to your users. If you have their emails, you can upload the whole email list, and send the form to everyone at once. Only people from the list will be able to access the form, and with the Unique submission from the previous answer, only one answer can be accepted. However, for this to work, every user needs to have a JotForm account.

    very usefull, neverheless my 2.000 alumni do not have a JotForm account unfortunately...so, anche other idea to manage this point "only our Alumni can vote"?

    and sorry another question: how can I validate a field entry according to a preapproved list of values? I mean I want that the user can intert in a field only a value that is validated by a list I st up in the back end.

    I mean the entry could be only "white" or "black" or "grey" , if the user enter "yellow" the system give a message of error; but the user can not see the pre approved list ; the field is empty but with hidden value pre apporved

    Is it possible?

    I would suggest you to please take a look at our "Spreadsheet to form" widget and see if that fits into your requirement. You can add this widget in form and upload an Excel file with all the preapproved list data that can be a unique column.

    When the user input the value in the widget and click on the button, it will check in the uploaded Excel and populate the respective value in your hidden form fields. You can then add a condition on the hidden field to show /hide the error message to user.     yess it works!

    But I have another question: I have to be sure that each user votes just once; so I have to activeate a check that an email could be inserted just one in the field.

    Shouls I activate the Unique Question check in the form settings? And select the email field to be checked?
    But this check seems not to work in the form...

    You are correct. The email field should be selected in the Unique question field. I've tested that at my end and it works as expected.

    If you enter the same email address in a second submission, the form will show an error when submitted.

    Please let us know on which form you are trying to set this up.
