Once again, Hiding Empty Fields in Email

Asked by chanddas on October 02, 2013 at 11:12 AM

    Hello,

This question has been asked on several threads and every customer on jotform has the same issue and it is our number one priority, yet the issue has yet to be 1.) escalated and/or 2.) resolved. Are the developers working or plan to be working on resolving this??

My biggest issue is that once an email template is modified/edited, the feature of hiding empty fields no longer works. However, if i DO NOT modify or edit the template, how will I get notified that a customer has filled out the form?

The submission email I receive for my company is through a different server altogether and it will only come through depending on the subject line of the email. If the subject line reads 'Notification 1,' which is the default, WE WILL NOT receive the email AT ALL, which means we cannot fulfill customer requests.

Our email server does not support HTML or rich text, so if i do not modify the content, it will make it very hard to read.

    Can you please advise?

There appears to have been some misunderstanding. We were referring only to editing the table in the Compose Email section of the notification. Other aspects of the notification can be changed without affecting the Hide Empty Fields on Emails functionality.

So, you can go ahead and edit the subject line. However, there's still the hurdle of your server not supporting HTML or rich text to overcome.

    Okay, great! That's immensely helpful!

    Now, two questions.

1.) Can I remove the JotForm logo and the top line that says Question|Answer? (Not a big deal if I can't)

2.) When I receive this email alert that a customer filled out the form, everything gets bunched together. Is there a way for me to separate the information since I cannot add semi colons or spaces? Is there a function/feature in the form that transfers over to the email? (I would like to attach screenshots to better explain my question, but I don't know how)

    Hi,

    1)  In order to get rid of the JotForm logo, just select it with your mouse and then hit delete key of your keyboard.

About deleting the "Question" and "Answer" words, select that row and then click on the "Delete Row" icon,

2 - Did you try by using the "Use Text E-Mail" option inside the email notification layout?

    it will create a plain text version of the notification, maybe you could separate the field title from the  content using a "-" character ie: E-mail - {email3}

    Hope it helps

please let us know if you need further assistance

    Thanks

According to @Abajan above, if I change/edit/modify anything on the email template, the feature to hide empty fields will NO LONGER work. I'm getting conflicting information, can you please advise?

Here is what I would like to do:

1.) Hide empty fields in the email after a customer fills it out. (which I have already done so)

    AND

2.) Create spacing in between questions so it is easier to read when we receive the email.

These are the same questions I just asked previously that were not answered.

If someone could please advise how to add screenshots, I can better illustrate my point.

    Hi again,

Unfortunately, deleting the JotForm logo will indeed stop the "Hide Empty Fields From Emails" feature from working. (I just ran a test on one of my own forms to be sure.)

Perhaps the best solution for the formating dilemma would be Google Spreadsheets integration. Then, once the integration is complete, you can share the spreadsheet with your team. Also, one of our soon to be released apps will allow you to embed the submissions into a web page. The app has an editor which would allow you to format the submissions as desired. However, due to personal info contained in the submissions, you would want to password protect that page.

Regarding screenshots, please see this wiki. Once the image has been saved, go to https://www.jotform.com/help/image_upload.php?naked=true and upload it. Upon completion of the upload, the tool will generate a URL. Copy that URL and share it here. Alternatively, you could use ImageShack or a host of other image sharing sites.

@abajan, that was really helpful, thank you.

I was able to hide the empty fields through the notification email, but noticed that the empty fields show up in the autoresponder. Am I missing something? If I delete and try again, will it work?

    Please help. Thank You!

    Hi again,

I should have mentioned that the "Hide Empty Fields From Emails" feature only works with notifications and not autoresponders. However, one workaround is to make a notification act as an autoresponder. How? By entering the tag for the email field into the notification's Recipient E-mail field. In that particular form, the tag for the email field is {email64}:

Deleting the form's current autoresponder and creating a second notification with {email64} as the Recipient E-mail should solve the problem but if it doesn't, please let us know.

    Cheers

    Thank you, that did work!

Will the below issue get resolved?

    @chanddas

Not as of the moment. There's no workaround to this so we have to wait updates from the dev team about this issue. Unfortunately we cannot provide you any ETA. May we suggest you to subscribed to Jotform's Weekly Updates instead http://form.jotformpro.com/form/31370916159961 so you will received emails about the recent added features and fixes.

    Thanks!
