Monique_JacksonAsked on December 17, 2020 at 12:00 PM
I don't know if I am using the system wrong. But once I have created the form. How can I input the requested information then send to a client just to confirm or sign items and conditions? I have created the forms and sent it to a client but I don't want the client to edit the information that i have inputed. I just want them to confirm that they agreed to the quote and terms.
Thanks.
Monique

Hello Monique,
I assumed that you are referring to the Charter Confirmation form, correct? To also verify, are you prefilling the form before it is sent to your clients? If it is, you can add the Get Form Page URL widget on your form.
For reference: How-to-add-a-widget-to-your-form
Then create a condition that will disable the form fields if the Get Page URL widget contains the edit value: How-to-enable-disable-fields-using-conditional-logic.
Then create an autoresponder email that will be sent to your clients with the "Edit Link": How-to-let-users-update-their-form-submissions-at-a-later-date
In this way, when the clients received the autoresponder email, they will access the prefilled form through the Edit Link, and with the condition to disable the fields that are specified on your condition. This will prevent them from editing the information that you have filled in on the form and for them to sign the form.
You would also need to add an email address on the form and set the email address as the recipient email on the autoresponder settings. So that when you filled in the form, the autoresponder email will automatically be sent to your clients: Setting-up-an-autoresponder-email
I hope this helps. Let us know if you are referring to a different workflow and assist you further. Thank you.

My apologies for the confusion I have created.
Do I sent it to myself to input the information required then send it to the client to approve it with a signature and submit button?
I assumed that you are the first one who will fill in the form, and this is how your workflow goes:
1) You will fill in the form with the necessary information and submit it. You don't have to send the form to yourself, and you can load the form on your browser using the direct link and fill it in.
2) Your clients will receive an autoresponder email with the edit link.
3) Using the edit link, your clients will sign the form while the fields are disabled to prevent them from modifying it.
4) Then, the clients will submit the form again with their signatures.
5) You'll receive an email notification again that the form has been signed because the email notification is sent every time the form is being edited.
Send on Edit: Enable this option so recipients can receive a new email every time the form submission is edited:
This is similar to this workflow: A-general-approach-on-building-an-approval-process-workflow.
Kindly provide us your workflow so that we can assist you better. Thank you.

Hi there,
I assume this is the form https://form.jotform.com/203324955266155 in question, right?
Please allow me some time to check this and I'll get back to you here shortly.
Thank you.

Hi there,
It seems like you've disabled the signature field from the condition as well.
Please remove the signature field from the condition if you want to client to be able to make a signature when they receive the form.
Also, can you please clarify what you mean by the "second page didn’t show"? I was able to navigate through the 2nd page when editing the form. There should still be a "Next" button when editing the form in order to proceed to the next page.

Is my auto responder correct for when I send it to a client?
I can see that the autoresponder is set up correctly. I think it is better to indicate that they would need to use the Edit Link to sign the form, by modifying the Email Content: How-to-edit-the-email-template-for-notifications-and-autoresponders, just so they know how to access the form and sign.
So when I get the auto responder email to my email I don’t see the 2nd page of the email.
I have cloned your form and made a test submission and received the autoresponder on my email but I can access the second page of the form on my end when I accessed the Edit Link specified on the autoresponder email and signed the form:
When the client received the form they received a message that they don’t have permission
This is because the form is in private mode on the Publish page, wherein only selected users can access the form. For reference: Making-your-forms-accessible-to-company-members-only
You can make the form in Public mode by clicking on the Settings button:

To verify, are you referring to the submitted form with signature? Also, to clarify, you are still referring to the Ultimate Travel form, correct?
If it is, you should be receiving the confirmation email with signature as soon as the client submitted the form and as long as the Send on Edit option is enabled on the email settings:
Can you provide us with additional details if I have misunderstood your query? Thank you. Looking forward to your response.
