Multi Step-Processes Help

I really wish you all offered a live zoom call, webinar training, or something!

Since that's not currently available, here's an exhaustive list of everything I'm currently trying to accomplish. If this is all possible, the electric utility I work for would love to sign up for your top-tier services.

    Potential Process:

Solar installers fill out our interconnection agreement with all of the technical specs of the proposed system. That then would be emailed to our Customer/Member where they could only see & verify their Name, Account Number, and Address followed up by their signature field, which would be the only field not filled out by the installer.

I'm having issues here with what they see. During my practice trials, I got it to email the member/customer through the (Edited URL) the link showed their information and signature field, but then there was no submit button or when I made changes, it just allowed them to edit the whole document and they would have to click next all the way through.

Also, when they get the link and verify and sign, how long can they edit the document? Because during my practice runs, I could go back and click the link and edit it again. After they verify and sign, I want that to be the end of their contact with the document. So was this only possible because my edited link didn't have a submit button? So even though I verified and signed, it was just in limbo?

After these steps are completed then it would come to me to review and upon approval the Installer, Member would be sent an Approval/ permission to install email. Would this have to be a separate form? Then we would be notified by the installer that this site is ready for inspection. What's the best way to do this? A separate Link/Form that ties to their previous submission by way of matching the Name, Address, Account#? Or does this have to be two separate things? I'm also trying to tie this into my inspection app Go Canvas thru Zapier, that way the information submitted in this form would pre-populate in my inspection app, after an original submission or inspection request whichever would work?

Anyway, after a successful inspection request, and inspection I would like the member and the installer to both receive PTO permission to operate. Followed by the final signature of our CEO to complete the document. Please see the attached flow chart to really see all the steps I'm trying to accomplish.

If we have to pay for service we would be willing to do so, or if you know anyone who builds these processes in your platform please send me their contact information. We know your platform can do pretty much anything it seems but our limited knowledge of how it works limits this.

    Regards,

    Chris Walker

    Hello,

Thank you for reaching out on the other thread.

My colleague contacted me and this how we discovered that my reply has never been sent to you.

I apologize if you thought that we were plain ignoring you.

I have spent more than 40min trying to build your workflow and found out that even if doable, it was very complex.

I have enabled a new functionality on your account that we are slowly releasing, it is called Approval Flows

If you click on Settings at the top of your form, you will see it on the left of your screen:

    1614026838 60341856c09a2 Screenshot 10

It will allow you to build a workflow pretty much the same way you have built your flow chart.

I apologize once more, I didn't realize at all that my reply didn't go through.

    Hope this helps.

Do not hesitate to reach out if you need further assistance.

Great. Thank you for this information. Hopefully, I can get this to do all that I'm seeking with a little time and patience.

Now the next issue. I have it set where the installer fills out the form, and then the member is emailed an edited link, where they can only see/edit their information, Name, Address, Acount#, Preferred Contact#, Signature, Title, Date. However, there is only a Back tab, Next tab, and then if I hit Next, there is another Back, Next tab then when I hit the second next tab, the page goes blank like the document is stuck in limbo because there is no submit button?

    Hello,

You are more than welcome, do not hesitate to reach out if you encounter some roadblocks or have questions!.

Regarding your question, apologies but I'll have to rephrase it to make sure I can picture the issue properly.

    First submission, no problems there.

The member gets an email with the edit link, no problems there.

But when trying to edit he gets stuck in some kind of infinite loop where he has no other choices than either hitting "Next/Back"?

Or is it that when it's time to submit, he clicks on "Next" and then, blank screen, nothing happens?

Apologies again for the little back and forth, I just don't want to run in the wrong direction and give you a completely misleading answer.

Yes, first submission good. Member receives an email perfectly and all the data I want them to see is visible. However, when they verify the information listed and signed the document they can hit next that takes them to a blank screen with only a back or next button. Then if you click the second next button it goes to a blank screen and that’s it. Greetings,

I cloned the form and I can't replicate the issue. I noticed that my cloned form doesn't have Title [Member/Owner] field after the signature field. And all conditional logic are disabled.

When I clicked the Next button it shows the next page.

Kindly confirm is the issue still persist on your end?

I have cleared your form cache, please try the form again, and let us know how it goes.

    Thank you. Regards.

Sorry, I disabled the logic to work on some other issues, but yes that problem happens when the logic enabled.

    Hello @walkerc,

I believe the reason you are having issues is the conditions you have set up, not the Approval Flows. I have tested your form and I see that on the final page the "submit" button is missing and also I can see that the issue with the blank pages on the Edit mode of the form.

Here is a screenshot of the condition that is causing the errors:

    1614303087 60384f6f9d3bf Screenshot 10

The way it is set up right now, it will not show the submit button if the URL contains the word "Edit" and this will cause problems. You can simply remove that block to solve that issue.

Next, If I am understanding your workflow correctly, the member is sent an email where they will use the edit link to complete all of the "Member..." sections of the form correct?

If so, then you can just add another condition to skip to the last page once the member signature is in place, that way you do not need to worry about hiding all of the other fields.

Here is a screenshot of how this logic can be set up:

Here is the cloned form I made with these changes, feel free to test it for yourself to see if the functionality is correct. The Member email is set to send to your account email address.

Thank you for that, and yes that did fix the issue.

    Another issue:

The installer fills out the form portion works good. After that portion is completed the edited link gets emailed to the member, where they verify the information and sign works good.

However, after all of that is completed when I received the completed form it doesn’t have any of the installer data that was entered just the members verified information?

    Hello,

Is it on that part of the flow that the issue is present?
