I would like to quickly and efficiently send the form to the client

our appointments come through another system, so I would like to quickly and efficiently send the form to the client. We have multiple people sending the link...what's the best way to do that? All appointments don't come in at the same time.

I am not sure if I have understood your question correctly, but if you're referring to sending out bulk emails containing the form link, I suggest you use a mailer software that can do just that like Mailchimp or GetResponse. Mautic and Mailtrain are good open-source alternatives.
