    Forms not linking to DropBox

    Hello,

    One of my co-workers mentioned to me today that some of our forms are not linking in with dropbox.  I went through all of the forms and mae sure that Google drive wasn't integrated and then removed and reapplied the dropbox integration but it still is not linking.

     

    On our applications, we have a hidden field where we can put in the status of an application.  When we clicked on edit through the submissions field and then submitted the edited form, it used to automatically save a copy in dropbox.  It isn't doing that anymore and some of the applications that have been submitted recently are not showing up in our dropbox either.

     

    Could you help with this?

     

    Also, I noticed when I was trying to update/manage the integration from the submissions page, I received a notice in the configure dropbox menu.  I can't send you a screen shot from here for some reason, at the top of the little window it says "Warning: This wizard will be move to Dropbox integration on form builder soon." 

     

    What does that mean?

    Hi Emily, We're very sorry about the inconvenience involving this. To my knowledge we were doing some maintence to upgrade and fix some previous problems that were known to have been occurring with Dropbox. We've alerted our developers about it and it will be fixed as soon as possible as far as I know.

    We are sorry for the trouble that have caused you.
    We Developers are constantly improving Dropbox to avoid this kind of errors and to make user experience even better. 

    We've made a patch for this, hope it works now in your end.

    The warning means, that the 'Manage integration' will be move to Form Builder soon.
    This will organize cluttered features of JotForm specially on integrations.

    Hello,

     

    Thank you both for your answers.  I am a little concerned because after I posted this, it seemed to start working again but instead of going to the folders that were already created and shared with co-workers, it is creating new folders on my account which isn't shared with everyone.  When we first integrated this, it created a jotform folder in dropbox and then it created a folder for each form that we had and then when you opened that form folder, all of the submissions were there.

     

    Now, it is just creating form folders in my account but when I go to share them or condense them into another folder to share, the submissions do not keep adding to the new folders that were created when we received the submissions, instead it just keeps creating new folders.  A fix and instructions on what changed and what I need to do to prevent this from happening would be great.

    When we are editing the status on the form in the submissions area, it still isn't uploading that new edited form to dropbox even though the integration is there.

     

    Also, was there anything that was sent out or announced that this update or maintence was going to be happening?  We strongly rely on this integration between jotform and dropbox in order to keep doing business and providing results to our own clients. Not knowing that this was happening caused some issues here at ICF and I am happy that it is sort of working now and I am not so worried about possible lost information for clients, but a notice that this was going to happen would have been nice.  If you don't send notices at this time, it would be great if you could please start so this doesn't happen again or at least we know about it ahead of time.

    In any case, can you please take a screenshot of your folder? about the new problem you are facing?
    (cover up those sensitive information if you can)
    If that's okay with you. That will speed up our investigation to solve the problem.

    Hello,

    I am not sure how to send you a screen shot without having a link since there isn't a place to upload it here and I cannot paste it.  

    I think I figured out the folder issue with dropbox anyways.  Where the form submissions used to go into a large file titled jotform and then into the form folder itself, it isn't doing that anymore.  Instead of going under one large jotform folder, it is creating a new form folder for each of the forms since the update was completed.

    When I tried to share the folder before, I created a new folder and put the new form submissions into that folder and sent it out.  When we received a new application, jotform couldn't find the new form folder since I moved it.  So I think that issue is solved.

    My next concern is that we have hidden fields on the forms to track submissions and previously, when we would edit the form through the submissions, we would submit it and get another copy of the form in dropbox with the updated status.  When we do that now, we are not getting the updated/edited form in dropbox, it is still only the original submission.

    Also, are notifications sent out to your clients when updates or maintenance is being completed on the system?

    You are right, we are working on the DropBox Folder options. I think that we will add even more control over the folder structure in the nearest time.

    About updated submissions, I have just tested a sample form and found that we update the original submission PDF file on the Dropbox upon submission edit action. So if you edit submission, Dropbox should get updated PDF file (file name is not changed). Are you still having any issues with this?

    We are doing hundreds of small updates each week, so that the product is always on development, and unfortunately, we can not send emails about updates as there are too many of them.

    Hello,

    Thank you for getting back to me.  I just tested it this morning and it seems to be working now, which is great!  The only thing that I am seeing now is that not all of the uploads that are submitted on these forms are uploading into dropbox.  Only the application PDF.  Do I need to set something up on the upload fields on the form so if a document is uploaded, it goes into dropbox with their application?

    Hi, its good to see that some part of your form are now working.
    I'm not able replicate the problem.

    Have you tried to reintegrate your form with Dropbox? Can you take some screenshot if you're able to do it now. With that we can further investigate the problem.

    Hi there,

    When I came in this morning I wanted to start testing some things out and I started to submit test forms with attachements etc. and it seems to be working now.  I think the files that were submitted yesterday that I wasn't seeing uploaded materials for was while this was still be updated because it is completly functional now.  There are a couple of forms that we do not use all of the time but I am porting over now and I have noticed that there are some new options to select in the integration window for dropbox so I am thinking that while we were still having issues yesterday, it was still be worked on.

     

    I appreciate the help with this issue and will let you know if we continue to see some errors or items are not linking as they should.

    So can you confirm that this is now fully working?

    I also appreciate the patience you've shown to us.

    We did improving dropbox, sorry if we can't notify every single user that used the Dropbox integration. 
    But we promise that we will give you the best we could to maintain each feature we introduced.
