Auto-Delete Submissions App: not picking up submissions for deletion

    Hy!

     

    I hooked the Auto-Delete-Submission-App into my account. First it seemed to work well but then I noticed that the submissions are still there: they don't show up under My Forms (all three forms have no submissions) but they do show up in Account > Usage (see Screenshot). Unfortunately I can not delete them manually because they are not listed anymore. Hm, did I miss something? I couldn't find a way to fix this... Any idea?

    I've re-run the wizard, and that fixes the storage limit. Can you please check? I would also suggest clearing your forms cache, please refer to this guide: How to Clear your Form Cache.

    By the way, if you haven't yet known, deleting uploaded files along with the submission data will only free up space. Your submission counter will not get reset back to zero. Submission Counter will only reset every first day of each month.

    Hi Welvin,

    thanks a lot for your answer (and sorry for answering sooo late). Of course you are right, sorry, I missed this: the auto-delete submissions app actually deletes the files from jotform servers but of course the submissions are counted in my account and also the upload space is counted in my account - even if the files aren't there any more. Both counters will be reset at end of the month...

    Nevertheless we are testing jotform for our site and then will switch to a paid plan if this works well for us. And it seems to :-) Thanks a lot for your service!

    I delete the cache, I hooked the plug-in again. No effect. Files don't get automatically deleted: If I use the link to the files, which is provided in our notification-email, the files are still there (Jotform-URL > Jotform server).

    Limits (upload number limit and upload straffic limt) increase anyway, that's just fine. But there is no auto-delete of the files.

    Any help on this? Thanks!

    Thank You for the follow-up report about this problem from your end. I made a test form and hooked it up to the app to check on this and it seems that there is some sort of problem with it. I've sent an additional follow-up report involving this matter over to our developers so they can look into it more.

    Per the Auto-Delete Submission App and it's included Details it specifically stated that the auto-deletion action is " almost instant ". However, I tested this a few times and I can confirm this did not happen. I've waited several minutes including well over 10 minutes and the App on my end didn't seem to pick up any of it be auto-deleted by the app as it should.

    Hy! Are there any news on this? I've checked today and I'm still having the issue: although the submissions get deleted automatically, all the uploaded files remain online at Jotform, i.e. Amazon S3. They are not visible in my Account, but I can download them by clicking the link in my confirmation email :-( Can we expect a solution in the next days? Is there any workaround? Thank you!

    As far as I can see, the ticket is still open. I think that the app was not designed to delete files in the first place, since there is no such option provided in API.

    Please note that we do not list upload links anywhere. In other words, if you do not share submission data, the links are safe and not accessible to public.

    We will let you know when we have any updates on the ticket. Thank you for your patience in this matter.

    OK, thanks for your answer. Data security is crucial for us (as for a lot of other companies out there). So at least we need to have control over the uploaded files to delete them immediately. To do this by hand would be a pain of course. I think the problem is clear and I would love to hear any kind of solution or workaround soon :-)

    Hi,

     Will it ever be possible to have some kind of auto-delete of uploaded files and not "only" submissions? 

    There is no such feature at the moment. The Auto-Delete Submission app was made to delete the entire submission data.

    As an alternative workaround, why don't you try integrating the form also to some available Jotform data management app like Jotform Goolge Drive App (google drive, or dropbox will also do).

    Combine the integration app with the auto-delete submission app, and you will not worry anymore about losing the entire submissions as it will have a backup copy outside Jotform (or in the integrated app)

    Our developer assigned to fix the auto-deleted app issue have no update on this yet. But they will surely respond here when status update is available.

    Hello, thanks for your answer.

    We already integrated our form with dropbox. But up to now all our data is stored at Amazon S3, too. We just want to have this data deleted automatically (or better: we can choose where our data is stored, Dropbox, GoogleDrive or Amazon) as we are happy with Dropbox and don't want to have it stored in another cloud.

    Maybe there will be a solution in the near future...

    I would advise to manually delete submissions from the form submissions page. This is a temporary solution while we are waiting for an updates from our developers. 

    So, you have to access the auto submission delete dashboard and remove the list of the form there: http://auto-delete.jotform.io/dashboard

    Hello Welvin,

    Thanks for your answer. But I'm sorry, this does not work as described. There is no easy to access administration area for this app (no dashboard if you click the link posted by Welvin). I had to re-link it and re-allow the app in order to get to the screenshot you posted above.

    To get rid of this app one and forever, you have to go to My Account > API.

    Hm, this app is not working very well - thought about removing it from your "app store" until this is fixed? Only deleting submissions without deleting data is kind of useless, isn't it?

    So for now I "solved" it like described by Welvin in his last post: delete manually.

    Our apologies! But we cannot remove the app without the permission from the higher-ups. I'm also not sure if they will consider removing the app. Anyway, this thread is already assigned to our developer. The priority is high so hopefully, this will be fixed sooner.

    We have a similar need for sensitive information being uploaded and we want to just keep that in our Google Drive environment.

    The cache problem on deleted submission uploads should now be fixed. If the problem continues please let us know.
