    Zoho CRM integration: Allow Accounts and Potentials

    Need to allow Duplicate records based upon the same email address....as we have one form broken down into several forms.

     

    1) For a Student

    2) For the Parent

     

    Sometime the Student uses the parents email address and then the Parents record isn't sent to Zoho CRM.

     

    Need to disable duplicate checking.

     

    Can this be done.

     

    P.S.  Zoho Leads...also has duplicate check set to off.

    Upon checking your form I see the settings for Unique submissions are disabled.

    As this thread was posted a few hours ago, let us know  if upon setting this feature off, the issue continues

    So we can escalate. The only problem I can think of right now, might be the UniqueID field you have set up in your form, despite the fact this is not being sent to ZohoCRM. Let us know if you were able to sort this out, otherwise we might troubleshoot and probably escalate this to our developers

    Please escalate. Problem still persists.
    Note: My Account is a test account. The account of the live form is with Walkingtree.org
    Seems to be related to the email ID on Jot Form - form 1, form 2 etc... and the Zoho CRM Integration to leads.
    We have several forms set up as serial forms. Form 1 for Student, Form 2 for Parent 1 and Form 3 for Parent 2. They should come into Zoho Leads as individual records that will be merged manually in Zoho during the conversion process.
    If the student uses/enters their PARENT's email ID in Form 1, then if the parents form uses that same email ID that Parents form 1 or 2 is skipped or Form 2 or 3 overwrites form 1 depending on how the Zoho CRM Integration "duplicate check" is set to - Option 1 UPDATE PREVIOUSLY ADDED or Option 2 DOESN'T ADD CONTACT IF IT EXISTS.
    Seems like we need a third option under the Zoho Integration - Option 3 - Allow Duplicates
    We have Zoho Leads set to Duplicates allowed.
    By the way.......is it possible for Jot Forms to integrate with Zoho CRM Accounts and Potentials?
    As I see it....Jot forms only integrates with Leads and Contacts.
    If Jot forms could integrate with Accounts and Potentials too.......we could create forms in Jot Forms that would create the account and add Contacts and Potentials under that account.
    Thus, Simple "contact us" forms could go to leads in Zoho....and Actual Orders/Applications could go directly into Zoho Accounts/Contacts/Potentials.
    The only reason we do not use Contacts at all....is because it's easier to use Leads to convert into Contacts/Accounts/Potentials.
    If we used Contacts vs Leads......we would then have to manually create the account, add/link each contact to the account and then manually add a potential.
    I know it can be done with the Zoho API.....but can Jot forms do it?

    Reading your original post better, probably I missed something in between. You probably need a way for submitters to re-submit the form and still be able to overwrite this information at Zoho, right?

    If that is the case, you just need to create an autoresponder  which will trigger a message to your submitters so they can update the info, you can then include  an edit link to it.

     

    I just tested this scenario and it worked on my case. Let us know if further help is needed

    Hi Jot Form Team,
    I don't think this is the resolution.
    1) We are using Jot Forms to submit a record(s) to the Zoho Leads module.
    2) The form is actually one form broken out into 5 forms.
    Form 1 - The High School Student Form
    Form 2 - The Guardian/Parent 1 of the Student
    Form 3 - The Guardian/Parent 2 of the Student
    Form 4 - The Teacher Reference 1 of the Student
    From 5 - The Teacher Reference 2 of the Student
    The Reason we broke the form into 5 forms:
    If we combined all info on 1 form....it would create only 1 Lead Record in Zoho - And each lead record only has the ability to track emails based upon 1 PRIMARY email address.
    Thus, we wouldn't be able to send emails from Zoho Leads directly to each respective Contact with their unique email address.
    So the 5 forms include an Account field that links all the contacts together.
    In Zoho Leads - we then have 5 leads all using the same account ID.
    When we convert the first lead - we create a Contact/Account and a Potential in Zoho.
    The subsequent 4 Lead forms are ADDED to the Account when converted.
    The problem is: In Jot Form, The Zoho Integration only has two option regarding duplication checks:
    A) Update Previously Added
    B) Doesn't add Lead/Contact if it exists.
    We need a third option; C) Allow Duplicate Leads/Contacts.
    OR
    We need a way to use Jot Form to:
    Add to Contacts/Accounts/Potentials so we wouldn't have to integrate with Leads and Convert manually.
    Note: We could integrate with Contacts vs Leads.....but then we would have to manually create the Accounts and Potentials anyway.
    At least by integrating Jot Forms with Leads, the conversion process creates the Accounts and Potentials automatically.
    Ideally, it would be great to have a phone conversation to discuss the Zoho Integration.

    So far, the current integration will either add to Leads or to Contacts

    Dear Jot Form team,
    Yes.
    Option 1) We leave it to Leads....but need to allow duplicates and we ll convert all leads ourselves.
    Option 2) Change the forms to add to CONTACTS and get Jot Form to also integrate with Accounts and Potentials so we don't have to manually convert in Zoho.
    But would still need to allow duplicates.....as sometimes....the HS Student uses their Parentsemail address because they don't have an email address yet.
    Is it possible to discuss this on the phone?

    Yes.  Zoho CRM allows for adding updating in Leads, Contacts, Accounts and Potentails.

    So it would be great to have our Jot Form create and Account, A Contact(s) under that Account as well as a Potential.

     

    This way we wouldn't have to uses Leads at all which requires a manual conversion process.

     

    A Lead in Zoho CRM is Converted (moved) and is broken into three separate records.  A Contact, an Account and a Potential.

    If Jot Form could do this via API...it would be HUGE as we are anticipating getting 20-120 form submissions per day during our peak season.

    That being said....if Jot Form can add to Contacts/Accounts/Potentials.....we would need to enable duplicate checking so if a submitter submits the form twice we wouldn't have dupes.

    Actually no yet. Our developers have been extremely busy with widgets. Happy for us, the widgets have been now released. Hopefully they will prioritize this sooner than later.

    Unfortunately, nothing for now. I think, this is not on the priority list but it doesn't mean that our developers won't be checking this. If there are updates, you should know it via this thread.
