Questions About Jotform's Capabilities

    I have several questions before deciding whether I'd like to sign up for a paid plan for my client's annual design project competition. Please see below.

    Can you...

    1. Collect metadata with photo uploads? (ie. "Please tell us the name of the product featured in this photo.")
    2. Set up conditional formatting? (ie. if the submitter answers "other" in a list of options, a text box appears that allows the submitter to elaborate.) 
    3. Add qualifying questions? (ie. if you answer "No" to the first question, the form does not appear. If you answer "Yes," the form appears.)
    4. Set a word/character limit in the text fields?
    5. Allow the submission of multiple file types? (ie. PDF, .doc/docx, .mp4)
    6. Add multiple users on the same account so teammates can review? 
    7. Send follow-up emails/messages to submitters directly within the platform, AND/OR to those who have started a draft but not completed it?
    8. Re-open a submission for editing by the submitter?
    9. Set up a public voting element?
    10. Filter submissions by response type when reviewing them? (ie. view ONLY residential projects, or ONLY commercial projects, etc.)
    11. Create a submission landing page? (ie. a page with info like submission guidelines, contest deadline, award information, etc.) If so, can this page be branded with my client's own graphics, images, and colors?

    Other questions...

    1. How does the submission data appear to the reviewer? Can you easily download project data (ie. photos, plus all of the text responses in a single document)? Or does it generate an external excel sheet?
    2. Does the platform allow you to generate a link that can be embedded into another site? (ie. If we want to have a "submit" button on our website, could it be hyperlinked to our Jotform submission landing page?)
    3. Does Jotform allow you to set up two separate form types with different questions, all for the same competition? (ie. one form for professional projects, and another for student projects?)

    Hello Caroline,

    I'll try to answer each question briefly here in this support ticket, and if there's any questions that need further clarification or if you have follow-up questions to them, we'll move them to their own support ticket.

    1 Collect metadata with photo uploads? (ie. "Please tell us the name of the product featured in this photo.")

    It wouldn't technically be metadata on the picture itself, but you can add additional fields to collect this type of information.

    2 Set up conditional formatting? (ie. if the submitter answers "other" in a list of options, a text box appears that allows the submitter to elaborate.) 
    3 Add qualifying questions? (ie. if you answer "No" to the first question, the form does not appear. If you answer "Yes," the form appears.)

    These two can be accomplished with conditional logic in the forms. Show/Hide fields based on user's answer

    4 Set a word/character limit in the text fields?

    For "Short Text" fields, you can set a limit on amount of characters, and on "Long Text" fields you can also set the limit based on words.

    5 Allow the submission of multiple file types? (ie. PDF, .doc/docx, .mp4)

    Our "File Upload" field allows for multiple file types, which you can configure to your needs as well. Below is the default files, but you can edit them to allow for others, or to limit it to only images files for example.

    6 Add multiple users on the same account so teammates can review?

    You can invite someone to have access to your submissions Inbox, to be able to view or edit submissions, based on the rights you give them.

    We also have Approval Flows, which automatically notifies people via email when a new submission needs to be approved/denied. It could be set up so that the approver can request an update, or more information from the submitter.

    7 Send follow-up emails/messages to submitters directly within the platform, AND/OR to those who have started a draft but not completed it?

    You can manually email submitters in the Inbox.

    With the Approval Flow mentioned above, you can set it up to email the submitter automatically after their submission was denied for example.

    When a submitter saves a submission in order to continue later, they'll get their unique link sent to them that they can use to open the form later. There's no built in way of emailing them, but you can view incomplete submissions, and if there is an email in the submission data, you could email them manually outside of Jotform.

    8 Re-open a submission for editing by the submitter?

    It's possible to send an edit link to a submitter, for them to add/edit information in their submission.

    An example here of how to add it in one of the automatic emails, but the process would be the same when adding it to an email in an Approval Flow.

    9 Set up a public voting element?

    I'm guessing you want to collect votes, but also show the results after submission. Correct me if I'm wrong.

    To do this, I would make a Form Report and then redirect to the report when the form is submitted.

    10 Filter submissions by response type when reviewing them? (ie. view ONLY residential projects, or ONLY commercial projects, etc.)

    In our submissions tables, you can filter the submissions on any of the collected data.

    11 Create a submission landing page? (ie. a page with info like submission guidelines, contest deadline, award information, etc.) If so, can this page be branded with my client's own graphics, images, and colors?

    You can add "non collecting" form fields so to speak. So you could have images and text on the first page of a form, with the guidelines and such. And then have the actual form questions on the next pages.

    The page can be customized with the client's own images and graphics. This can can be surface level, such as just adding their own images, changing the overall theme colors of the form. But it can also be done with CSS if the client wants to change specific design elements on their forms.


    Other questions:

    1 How does the submission data appear to the reviewer? Can you easily download project data (ie. photos, plus all of the text responses in a single document)? Or does it generate an external excel sheet?

    A submission can be downloaded into a single PDF file, and if necessary the uploaded files can be downloaded separately as well.

    And if you wish to just directly link to your form, that's also possible. The link to a form will always stay the same. Where to find the form URL

    You could clone the form and change it to fit the other project type, or you could add the additional questions on the same form and just hide/show them based on previous answers with the conditional logic mentioned before.
