Can you keep database of entered fields?

Does JotForm record each form and the associated fields in a table that we can download as a single document?

If so, how long is the field data within that table maintained over time?

Can an admin individually edit/delete records or empty that table as needed?

Are attachments such as photos kept as part of this table?

You can view form submissions on the Jotform Tables.

Form submissions (uploaded files included) are kept in our server and can be accessed through the Jotform Tables via your account as long as you do not delete them. Please note that permanently deleted submissions are irrecoverable.

However, you also need to consider that accounts on a free subscription only have a total of 500 submission storage space. And, if you are also planning to collect files from your respondents, every account has an upload storage limit based on its plan subscription — accounts on a free subscription have a total of 100 MB of upload storage space.

You can delete your form submissions to free your account's storage space. But again, since form submissions are not recoverable once purged, you can always download your form submissions and the uploaded files first before deleting them.

Under "All Forms" on your Jotform account homepage, you will see all the forms you've created. Right below a specific form, you will see how many submissions are there. It's also a clickable hyperlink that leads you to Jotform Table that serves as your database for all the submissions. You can download the entire table as an Excel file. You can also download all attached images/files by using the "Download Attachments" option.

About your last question, if an admin can individually edit/delete records or empty a table, the answer is yes. You can also watch this video to learn more about the Jotform Table.
