    When someone receives a form, how can they confirm if they want to accept or decline it?

    OK my client has asked me an interesting question. I have forms in place which go to his email inbox at the minute which contains information for attending clients home addresses who have been involved in accidents. I've been asked if it possible so that once a form is received in his inbox, he can then click on an accept / decline option in the email to then inform me if he is going to accept it. I don't know if this is something that can be done entirely in JotForm however can anyone think of a workaround/solution.

    I'm aware that you can schedule meetings etc in Outlook which includes accept/decline functions, maybe there is a way for Outlook calender to interpret the form as it comes in and ads it to the calender as a meeting?

    Any help would be greatly appreciated!

    OK I've figured I can send the forms to a database, then import the form into Outlook. The only problem is this would be a manual process every time. Does anyone know how I could automate the process so i dont have to be sitting at my pc all the time?

    Hi Adam,

    How would the solution below sound to you?

    User submits the form with a generated unique tracking id (for confirmation)

    Your client receives the details in his email including a link to a confirmation form prefilled with the submission's tracking id

    Your client either "Accepts" or "Declines" the submission via this confirmation form

    You receive a notification e-mail for the confirmation form containing the tracking id for the accepted or declined submission

    You look up these id's in the original form's database so you would know which ones are accepted and which ones are declined.


    This workaround would still not be an automatic process, but the good thing is that you won't have to export anything.

    Let me know if it sounds any good to you so I can lay down the steps on how to accomplish this workflow. I'll await your response. Thanks!

    Hi Neil, this sounds like a good solution and may negate the issues of people not having Outlook!! ( which I just found out!! ) If you could lay down the steps I'd appreciate it.

    Adam,

    First thing you need to do is add a Unique ID field to your existing 'accident form'. Name it to something that's easy to remember, say, "tracking"

    Create a confirmation form consisting of a radio button, submit button, and a hidden box named "tracking" as well. You may also use a drop down for the accept/decline option. Configure the e-mail for this form to send to your e-mail so you'd know which tracking numbers are accepted or declined.

    Open the existing "accident" form's notification e-mail by going to Setup & Embed > Email Alerts > Notification (or whatever you renamed it to)

    Append ?tracking={tracking} in your confirmation form's direct link then paste it in the body of the notification e-mail for your 'accident form'.  Highlight this url then click on the link button in the Compose E-mail screen. Copy the same url so that it will be clickable when your client receives the e-mail.

     

    That's it! You may also want to set the title of the confirmation form's notification e-mail to use the value of the "What do you want to do" field and the tracking number.

    So for example, you'll receive an e-mail with the title - "117237619123 - Accept" or "1312631812 - Decline".

    ok i got as far as the insert link button however this appears to be ghosted out, also I can have it so the tracking number for each time the form is submitted, is generated randomly? Just so i can distinguish one form from the other.

    You must highlight or select the url in the notification e-mail body first so you can click the Insert Link button. Then, copy that same url in the Insert/Edit Link pop-up window.

    As for the tracking number, I am sorry but I think I have made a mistake. It is not a hidden box that you should insert in your 'accident form' but rather a Unique ID field

    This field will generate a unique tracking number for each submission in your 'accident form' which will be passed onto the confirmation form whether accepted or deleted.  Click here more to learn about customizing the unique ID field.

    ok its nearly working!!! I have the accident form generating a unique ID. I've placed the Unique ID box on the confirmation form as well. Once i submit an accident form I click on the link in the email asking to confirm or reject. It then opens the confirmation form but displays the following in the accept or reject email..

     

    Form Submission Tracking
    Question Answer
    What do you want to do? Accept
    tracking 2

    The tracking box ( unique ID field ) seems to be creating its own consequative numbers rather than showing the unique id generated by the accident form.

    For the 'accident form', it's a Unique ID field while for the confirmation form, it should be a hidden box.

    Out of curiosity, can I also have it so that the confirmation email also includes the "Full Name" field as well as the Unique ID? So we can see straight away who the client is that the confirmation refers to

    Of course, it is possible.

    Insert another hidden box in your confirmation mail, name the label as "fullname" or whatever you like.

    Append  ?tracking={tracking}&fullname={fullName} to your confirmation form url instead. Note that you may need to change {fullName} to what appears in your accident form's notification. I think it's {claimantsName}

    Hello. I know this has been addressed a year ago. However, I am now at this point with JotForms. 

    I am using this on a client's site in Joomla! 2.5

    The form works perfectly and I have a Unique ID set up that the business owner gets. However, he would like the customer to have the same matching ID as well. Do I follow the steps above, or have this been streamlined over the past year?

    Hello again Jeanette - I am not seeing where the url code is. I have followed the instructions above but am stuck where the original poster got stuck. On the form I have, I already had a unique ID as this for example:

    C4C-Web Client-#02 

    I created the confirmation form and made it similar to what is above.

    Now, from here, I go back into the main form I made for the client?

    I clicked on the Email alerts and then notificatiion - this is where I am stuck. I apparently am not clicking on the right area to get the code I need for the confirmation form. I do see code, but nothing like shown above - what I see are gif and image codes in the pop-up.

    I hope that makes sense as to where I am stuck? Thanks, Janet

    For test purpose, you only need to fill-in firstname, email and captcha. You can check the for confirmation autoresponder email on the email address you provided.

    There is a link in the autoresponder email that you can click to display the "Confirm Submission" form . (See image below.)
