Google Drive: Submission Folder Name set to custom but it creates another folder instead of the custom one

Asked by everythingdisplays on July 18, 2014 at 07:18 PM

When you setup the Google Drive intergration it gives you two options - 1. the option to indicate a main folder name and 2. below this the option to indicate a submission folder name.  The problem is that the folder name for the submission is not appearing as the form name even though we customized it.

So when it uploads the file to Google Drive, it creates a sub-folder but not according to the custom name we set of "Art - {id} - {forFaster} - {companyName}", instead it just shows "New Folder in the Art File Submissions folder, the parent folder we set when we setup the widge

"New Folder" appear as the parent folder which I believe is the default name that Google drive uses when creating a folder.  Maybe this is a setting in our google drive somehow?

We have only used the "Custom" option for the submission folder name when we setup the integration so perhaps it is a bug or problem with using the Custom option...

    Hello Gabriel

I have tried to gather all of the information from the previous thread. Upon reading your explanations, basically the Custom Name for the SubFolder in the Google Drive integration do not work as you expect, it just creates a sub-folder but not according to the custom name you choose, instead it assigns "New Folder" label, right?

Let me do some tests and I'll get back to you later on.

After my testing, I was able to reproduce the problem.

I choose "Custom" and I define the Main Folder name Art File - Jeanette

Then, I add the necessary field tags to define the sub-folder name

But when I submit the form, Gdrive doesn't take the subfolder custom name.

It just creates a "New Folder" into the main Folder that I defined as Art File -Jeanette

So obviously this feature doesn't work and needs to be fixed.

    Hi Jeannette,

Thank you so much, that's exactly the error we get.  Look forward to the fix...

Actually, after making a second test, I found out how to make this to work.

    Just avoid the hyphen in between (green)  Art - {id} - {forFaster} - {companyName}

And you'll get the custom submission folder name the way you want it.

    Hi Jeanette,

What you wrote makes sense but the image confused me - where it has JF-00013, did it insert that hyphen automatically?

Does it leave blank spaces? If it can show a hyphen or some break between words other then a blank space, I would suggest to the developers to add that feature as that means without hyphens or the like because I could be mistaken but I think it makes it harder to quickly scan over many submission folders names if you have hundreds which we expect to have....

    Hello,

What you wrote makes sense but the image confused me - where it has JF-00013, did it insert that hyphen automatically?

Actually the "JF-00013" is the input value of the field "For faster service, enter your order number:" where the hyphen was entered manually.

I did test the "Custom Submission Folder" feature of the google drive integration and it seems I am unable to replicate the issue. It does accept the hyphen (with / without the space) and created the custom submission folder accordingly in the google drive account. Please check the screenshot below:

I test the scenario further, I cloned your form and integrated it my google drive account with the custom submission folder. Please check the screenshot belw:

I tested this cloned form and it did create the folder with appropriate naming convention in my google drive account. Please check the screenshot below:

I would suggest you to please re-integrate your form again and see if the issue persists.

We will wait for your response.

    Thank you!

    Hi Ashwin,

It is still not working but we have a clue - if you enter for the order number a value with a dash inside of it, this may be causing the problem.

Note we are only testing this with spaces between dashes and values so for example Art - {id} - {forFaster} etc.

Is it possible that with the value entered having a dash itself, this messes it up? for the order numbers (forFaster) we use values like A-12393745.

    Hello,

I don't think that it should create any problem. I remember that I have already tested this scenario as well in my previous reply.

I did try to test it again and it seems to be working as expected. I cloned your form and integrated it with google drive and enabled the "Custom" option. Please check the screenshot below:

I tested the form by sending a test submission and it did create the folder submission folder with the order number including hyphen. Please check the screenshot below:

I am not sure why it is not working for you. I would suggest you to please clone your existing form and then try to integrate with google drive again.

Do get back to us if the issue persists.

    Thank you!

    Hi Ashwin,

We did exactly as you said, cloning the form, etc, but the same problem happens.  We have it set in the integration to create a main folder "Art File Submissions" and for the custom sub-folder we set it to Art - {id} - {forFaster} - {companyName} and unfortunately it still creates a sub-folder called "New Folder".

Ashwin if you scroll up on this ticket you will see that your colleague Jeanette was able to reproduce the problem herself so do you think there is something you did differently then her and us?  We have resetup the integration many times, but the problem persists.  If jeanette and we were able to reproduce the problem, I wonder if its a bug with just certain google drive accounts or a setting in those accounts?  Your colleage Jeanette above in the ticket was able to get it to work only by dropping the hyphens.  We dropped the hyphens but left one space between each variable in the custom submission folder name but it still doesn't work.

Perhaps your team can test this on further Google accounts? I think this may be a bug of some sort...

    Hi Gabriel,

I am able to recreate the issue using the clone version of your form and even to a new form. I think this is a possible bug so let me forward this thread to our developers so they can further check and investigate the cause. For now, consider using the default which is AUTO.

You will be notified via this thread when updates are available.

    Thanks

Thank you Welvin, I think that fact that you, we and Jeanette can reproduce this definitely means it is a bug!

Yes, that's something our developers might correct. The problem did not happen to me when I dropped the hyphens, the dash in the data, was an input I did into a variable field. But basically I just took out the hyphens and left a blank space between each variable tags as you correctly guessed.ç

However, the bug is there, because Ashwin is not able to reproduce it, while Welvin and I were.

Please rest assured you'll get an update via this thread once our developers get this resolved.

    Hello,

Unfortunately I was not able to reproduce the issue discussed here. Could you please tell us which domain you are using and specific answers to that questions (e.g. forFaster or company) when folder name gets broken?

    Kind regads

    Hi again,

We have just fixed folder naming issues in Google Drive integration thanks to a user feedback: the problem was caused by checkboxes when they interact with the folder name building process.

    Thank you very much

    Kind regards
