PDF Report not Updated in Google Drive when using Edit_link to update submissions

    Hi,

I wonder, if there is possible to submit data into the same form several times (like updating)? In my form I have several "Submit" buttons, which send the data well, but it goes each time into another data record. I would like to have one Edit link only to all versions of one form from start to end.

I guess, this question is similar to the previous discussion about temporarily saving of not-yet-completed form.

I really want to solve this issue, because I want to subscribe and use this tool to create job forms with 2D codes with direct web links to the right form (see my altered ThankYou page).

    my form:

    Hi Tomas,

You can populate the form submission data using external data source like CSV or Excel file.

That is by using the JotForm Import Data App.

You can check it here https://www.jotform.com/integrations/import-data

    OR

You can also combine submission data into a single form. Use the Combine Submission App ( https://www.jotform.com/integrations/combine-submissions )

Hope this help. Please inform us if you need more assistance.

    Thanks.

    Hi, Jonathan,

thank You quick response, although my problem was a little different. I altered the ThankYou page to show {edit_link} as a 2D barcode with web adress of the form including {sid}. It works just great, this way I can create job orders in paper form, which can be accessed any time by a common tablet and filled up step by step at any time and any place.

But, I did all the time one mistake - instead of getting back to the partially filled form by edit link, I used Back button in my web browser, this brought me back without the information about SID and created a new form submission with new sid - my mistake.

Now, my records are sent to Google Drive and there is only one small issue remaining - each time the data are submitted, new folder and new file is created. Can I do something to force Google to overwrite the old PDF data with the updated file? Same name, same SID...

    Hi Tomas,

I was able to test this process thoroughly and able to replicate the output.

The Edit_Link output in Google drive is NOT updated. The original data actually remains even though the edit process did creatte new Folder and new PDF file.

Here are the screens during my test.

    Integration

duplicated folder and PDF file after using the Edit_Link edit the original submission data

in Submissions View page, you can see the updated/edited data

but if you open the PDF file of the edited submission , the data is NOT updated/edited.

    --

It must be a bug or a not working feature for the edited submission to not update also in the Google drive integration PDF file.

I will submit a report to our higher team support to check on this so that we can get clarification on how it was suppose to work.

Can I do something to force Google to overwrite the old PDF data with the updated file? Same name, same SID...

At this time I think there is no workaround available to achieve this.

The most I could come up with is to let the original user re-submit the form instead without using the Edit_Link. Although this will still create new folder and PDF file in Google drive, what you will achieve though is the updated/edited data. You probably need to manually remove the original/previously created data.

I have submitted a bug ticket about the findings on this discussion.

We will notify you for any status update when available.

Hope this help. Please inform us if there is more we can assist you with.

    Thanks.

    Hi,Jonathan,

yes, exactly this is it, I appreciate Your effort to help me.

The Google integration works, but I have to walk through several directories with the same names and to find the latest one, that's tiring. If You find some solution, it helps me a lot.

Anyway, I decided to start using the forms routinely in my company for keeping of job records in our production site.

    Regards

    Tomas

    Hi Tomas,

    On this..

were you referring to the Google drive folder created?

You can customize that Drive Folder Name with your preferred folder name during the integration setup.

    Hi, jonathan,

yes, I know and I already use customised folder names, that is great feature. The result is "custom folder name (1)" , and the number in brackets is increasing when new submission is sent. Usually, we have to update each form data 5x , this way we get 5 directories with almost the same name.

    With best regards

    Tomas

    Hello Tomas,

All issues related to Drive folders & submission PDF have been resolved a while ago. A new file is uploaded to the folder -if they have the same name-, or a new folder is created -if custom folder name produces a different name-; we just cannot delete the old one since data is always valuable and will most probably contain some information about the submission.

I hope you'll find it good enough. Please accept my apologies for the delay.

    Kind regards
