How to add the action box to Customize Approval Request Email

Asked on September 27, 2022 at 1:37 AM

    Dear Support,

May I know how to add the action box like Approve, Deny and Go to Inbox in the Customize Approval Request Email since I would like to delete the pre-designed format and insert my own to the approval request email.

    Thanks and regards,

    Hi Asia_Plaza,

Thanks for reaching out to Jotform Support. You can hide or show the added outcomes on your Approval elements email by Customizing the Approval Request Email. Let me show you how:

    • Open your form Approval workflow and open the Customize Request Email window.
    • From here you can click one of the outcomes and a smaller window should open.
    • This should allow you to check or uncheck each of the outcomes. But please do note that you cannot remove all of the outcomes as it will require you to leave at least one.1664260428 6332994c6bb15 Screenshot 10

That's it. Also, You can drag and drop the Approval Outcomes anywhere on your form to easily reposition them.

Give it a try and let us know if you have any questions.

    Dear Support Staff,

I managed to create the action box, however it looks different from the Customize Request Email window with the actual email. The five boxes are different in size in the email (the go to inbox is much thicker than the others), do you know why this happens?

    Hi Asia_Plaza,

Thanks for getting back to us. I've cloned and tested your form but the action buttons sent on the approval email are displayed correctly when viewed. Check the screenshot below:

It could be that the email app that you are using to view your Approval email doesn't fully support the email styling which is why the borders are not displaying and missing button styles. May I know what App do you use when you view your emails? Also, Kindly try to open the approval email using a different email app or browser and check again.

Give it a try and let us know how it goes.

    Thanks for your rapid reply.

I noticed that you actually filled the form and obtain a reply email. For my testing of the email format, I just used the "Test Email" provided on the approval flow builder. Would that cause the unformat of the action box?

FYI, I am using MS Outlook to view the email.

    Hi Asia_Plaza,

Thanks for getting back to us. Can you take a screenshot of what’s happening and send it to us? This guide will show you how to do that.

Once we hear back from you, we'll be able to move forward with a solution.

    Dear Jotform Support staff Asher_R,

Please read the preceding conversation, it was your staff Harvey asked me the App I use when viewing the emails. I have screenshot my problem in the earlier conversation. If a screenshot is still needed, please refer to my log of October 03, 2022 at 09:18 AM and October 03, 2022 at 10:12 AM

    Thanks

    Hello  Asia_Plaza,

Thanks for getting back to us and specifying where we can find the screenshot for the issue. As advised by my colleague (@Harvey), it could be that the app of your email client is not rendering the buttons correctly due to the app's limitation for HTML script codes.

Can you try to make a test submission on your form and see if it will make a difference? Also, you can try accessing your Microsoft Outlook email through the browser app or here, https://login.microsoftonline.com/, to see if the buttons will show fine.

Please let us know how it goes.

    Hi,

Just to let you know that with MS outlook, the action box still unformat. However, it is okay when viewing with my mobile app (Yahoo).

Maybe Jotform can investigate further on the issue of Windows MS Outlook if resources are permitted, but in any case, thanks for your follow up and you can close this log.

Sorry, maybe I have made you guys misunderstood, what I mean MS outlook is Microsoft Office Outlook running on Windows, it is NOT the outlook account of your link provided.
