Jotform Approval Workflow to send a series of forms after submission of the previous form

    Hi,

    I created a work flow with the intention of sending the person the first from and for them to automatically get the next form once form is submitted.

    This is my work flow below

    When the person submitted the form it looks like i got assigned the next form as you can see below.

    The goal is to assign the form to the same person but I want to add multiple people to the work flow not just one person. Look like I can only add one email to the field as you can see below.

    Can I assign multiple people to the work flow so they get send an email automatically once form is submitted?

    When I try and do via autoresponder the layout of the email is not the same as the form created.

    Please let me know if my issue is being explained clearly.

    Hi Daniel,

    Thanks for reaching out to Jotform Support. I tried to clone your form to check on your approval workflow, but it seems you have deleted the form already.

    Can you explain a bit more what's the reason for adding multiple people to the workflow? Is your purpose to have it go through multiple approvals, or only to send multiple notifications to multiple recipients?

    If your goal is to send multiple notifications to multiple recipients, then you can add multiple emails to the notification, or create multiple email notifications. You can then edit or customize the notification email template. Let me show you how:

    1. Click the Settings tab in Form Builder.
    2. Click Emails on the left menu options.
    3. Hover over the notification/autoresponder email then click the pencil icon. You can also click Add an Email if you would like to create additional notification/autoresponder emails.1675529657_63de8db908db4_
    4. Go to the Email Content section to edit or customize the email template that will be sent.
    5. Once you're done editing the email template, click the Save button.1675529909_63de8eb5b0fb2_
    6. Click the Recipients tab.
    7. You can add additional emails under Recipient Email.

    I'm basically want a recipient to fill out the first form "informed consent" then automatically get sent the second form "mobility warm up".

    I want to approve two forms. Apart from that I want them to receive the next form once form is submitted.

    The email autoresponder is not the layout I want the recipient to receive so I tried to work around it and include the link of the form in the autoresponder email but this is not working good enough also.

    Does that make it more clear on what i'm trying to do?

    Hello Daniel,

    Thank you for your patience. In what I understood, you wanted the two forms "informed consent" and "mobility warm up" subject for approval but you want to trigger the submission of the "informed consent" to send the form "mobility warm up"? If so, to achieve this you need to set it up on both form and Approval Flow.

    First is to connect the two forms, from the form Builder by doing it on the Thank You Page. Let me show you how:

    • In Form Builder, in the orange navigation bar at the top of the page, click on Settings.
    • In the menu that opens on the left side of the page, click on Thank You Page.
    • Now, select Redirect to External Link and paste in the URL for the second form. That's it, you're done.

    Is it possible to add essential 14 forms back to back with redirect with only a 4 form needing approval?

    You can set your approval workflow similar to this:

    Basically, the next form will be automatically sent after the submission of the previous form. In my example above, a Split branch element is added after the 2nd form since you want to send the 3rd form after the 2nd form's submission and approve the 1st and 2nd forms as well. Then, I added a Merge branch element to merge the two separate branches. The 4th form will only be sent if the 3rd form has been sent and if the approval task has been completed.

    If you want to continue with the flow without having the 2 elements both be completed first, you can change the Merge branch to "Any". Just click the Settings button of the Merge branch element and select the 2nd merge option. If this option is selected, the submitter will immediately receive the 4th form even if you haven't completed the approval yet.

    And that's it! You can continue adding Form elements into the workflow and add the Split and Merge branches if you need to do the Approval at the same time.

    Please also note that you can customize the Approval email and include the data from multiple forms. This is useful if you want to check the submission data from different forms and approve both of them at the same time. Just click the Approval Properties button and then under the General tab, click the Edit button at the bottom of the panel to customize the approval email.

    On the Email Content section of the Approval Request email, you can add the fields of the forms you've already added to the approval flow. So in one approval email, you can add the fields from 2 or more forms.

    That's great, I will try. Also I intend to scale this. I believe this is
    currently limited to up to 10 emails per workflow?
    Is that correct?

    Hello Daniel

    Thanks for reaching out to Jotform Support. For free accounts, you can only add 1 notification email template with 1 recipient. For paid accounts, we recommend only 10 recipient emails per notification. You need to create a new notification if you wish to send it to more than 10 emails.

    However, if your question is about email branches in workflow, you can include more than ten.
