Form to generate an edit submission link

Asked by Joe on January 15, 2015 at 01:09 PM

I have a form that I would like to be able to find the submission id of by using another form where the user would enter our autonumber value used on the original form submission. I would then like to have the thank you page be a redirect to the edit submission page by having the url dynamically use the submission id located from this second form.

I do not use the email notifier or auto responder for this particular form to send an edit link for each submission as this is not practical for our purposes.

My first form has a hidden autonumber field that the person entering the data receives upon form submission. This number is what we use as our master value reference to the record in other systems (it just makes more sense to us than the submission id that the jotform uses as its master value.

I want a form that the user can simply enter our master value contained in the original form hit submit and be directed to the edit submission form for the original form entry.

    Hi,

If I understand correctly, you would like users to be able to enter a value other than the submission ID and have that form redirect to the an associated submission for editing.  Though I believe this is possible using the direct submission ID, I do not believe it is possible to associate submission edit links with any value other than the actual ID.

    David

I am not trying to associate the edit link with anything other than the submission ID. I am trying to use a second form to find the submission id from a record in the first form based on a unique entry that each record has in a different field of the form.

    Example:

    Form two has two felds

The first field the user enters the value of the auto number field that was generated upon first form submission.

The second field auto populates with the submission ID from the first form that relates to the first field entry.

Then upon submit I would be happy with one of two results. Either a redirect to:

http://submit.jotform.co/form.php?formID=(Form One ID # which I would manually enter when creating the redirect) &sid=(the value of form 2 field two auto inserted)&mode=edit

or utilize the thank you page and have it display:

http://submit.jotform.co/form.php?formID=(Form One ID # which I would manually enter when creating the link in the thank you page) &sid=(the value of form 2 field two auto inserted)&mode=edit

What I meant by associating the submissions ID with something else was that there is no way to look up a submissions ID based on something other that the submission ID.  Essentially you would need to be able to look up the submission ID based on the number generated in your form.  There is not currently a way to link the submission ID to the generated number, so there is no way to bring up the submission ID, based on generated number.

You could do this with conditional statements, but you would need a condition manually setup for each generated number.

It would be nice if this were made possible.

I do have a work around for this, but it would require me to be able to include the submission ID in form reports. Is there some reason why I am unable to do this. Submission ID seems to come up everywhere else except in the create reports option. This would allow me to create a report with just our unique identifier entry field in the form and the submission ID. It would then be simple for our data entry person to retrieve the submission ID from this report and enter it into a form that then reidirects to the edit form link. I have already built and tested a form to achieve this, but I need the report.

    Thanks for your help.

    Hi Joe,

Thank you for taking the time to update us.

Unfortunately, it seems that the idea of using the Submission ID# on the Reports is currently not ideal at this time.

Our colleague Mike_T actually have a better explanation about it on this thread

    #-Has-the-submission-ID-been-added-to-the-report-option-yet

As you may have discovered already, the alternative you can use is the Unique ID field instead.

Hope this help. Please inform us if there is more we can assist you with.

    Thanks!

Are you telling me that I can create a form edit link using the Unique ID field instead of the submission ID field?

I read the information in the link from the above post. Seeing as how the submission ID is included in google docs and other external integrations, I fail to see the security risk of allowing jotform users the ability to choose if they would or would not like to include this field in the auto reports. Distribution of the report links and password protection can be controlled by the backend user.

Thanks again for your attention to the matter

    Hi,

Are you telling me that I can create a form edit link using the Unique ID field instead of the submission ID field?

    Unfortunately no.

I meant not in the same method like the Edit_Link because the Unique ID field also triggered only after submission action. You will noticed that it only increments/change after you have already submitted the form.

Because the unique ID is generated after post submission only, you cannot used it at the time of session (no new ID yet during form submission)

From experienced, I was able to use the Unique ID field via the URL parameter populate method only. Like the application describe here

    -How-to-Know-the-Exact-URL-of-a-Page-From-Which-a-Submission-Came

You have to know first the existing Unique ID# so that you can use it on the form.

In any case. let me also submit a feature request ticket to our Next Level support and ask if they can consider this feature (including submission ID# to the Reports)

I cannot guarantee you with any time frame or even if the request will be approved, but we will notify you for any update about it when available.

Please let us know if you have further input on this. =)

    Thanks.

Not quite sure why your response is illustrating the creation of an email of the edit link. If I wanted to flood the email box of our data entry person with emails for every submission; I would have already done so.

At this point I guess I give up

    Hi,

I apologize for the confusion. Please allow me explain properly..

My illustration on the email was about the Edit_Link that is generated on the email.

This is the user guide -How-to-Let-Users-Update-Their-Form-Submissions-at-a-Later-Date where it came form.

My understanding of your inquiry from the beginning was -- you wanted to use the Submission ID# to be able to have an Edit Link... if you check the user guide about the existing Edit_Link in jotform, it already does what you wanted to achieve BUT via the email only.

What you needed(to my understanding) was it, to be on the Report. (which currently does not exist yet)

Please correct me if instead I misunderstood the original requirement.

    Thanks.
