Appointment Field : Issue with maximum number of participants per day.

    Hello,


    On my form I have 2 appointment schedulers for play sessions at a gym I run. In settings, under "Limits" I set the maximum appointments per day at 50 and under "advanced" I had maximum attendees per time slot set to 50. When I looked at the registration list I only had 47 attendees but the session closed out and wouldn't allow more..that's why I changed it to 52. Can you tell me why the session would close out before hitting 50? Should I erase the "maximum appointments per day" number and only leave the "maximum attendees per time slot"?

    Also, is there a way for people to cancel their registration? I have seen on the reminder emails an option to cancel but it seems to just open the form back up, so I don't understand how that would work.

    Hello Stephanie,

    Thanks for reaching out to Jotform Support. I’m sorry you're having difficulties with this. As you mentioned you got only 47 attendees in a session. There might be a chance the other 3 attendees selected different  slot of the day. Because you selected maximum 50 appointment in a day it stop receiving the appointment for that particular date.

    If you want to have 50 attendees per then I would suggest to remove the "Maximum Appointments Per Day" limit in your appointment field.  I moved your other question to a new thread and helped you with that here.

    The thing is that I have no other appointments scheduled for the day so I don’t know how that would be the issue.
    Might it have something to do with me deleting entries? I keep having people sign up twice- I guess there is a delay after hitting the submit button so they think it didn’t work and submit again, so I delete those double entries to allow space for other people. Actually is there a way to avoid this double entry problem too?

    Hi Stephanie,

    Thanks for getting back to us. Yes, your problem may be related to the double entry problem. To prevent your responders from making multiple submissions in your form, you can use the Unique Submission feature. Let me show you how:

    • In Form Builder, in the orange navigation bar at the top of the page, click on Settings and then click on Show More Options.
    • Under Unique Submission, select Check cookies and IP address.

    The thing is, one parent may be signing up two different children on two separate forms- this isn’t a double submission because I need to account for 2 spots in the session since they have 2 kids.. so would this feature stop the second registration? Or is there a possible way of registering 2 children using 1 form?

    Hi Stephanie,

    Thank you for getting back to us with additional details. Yes, it will prevent the form users to submit a second form for their second child. But if the time slot is the same for everyone, you can use a Show /Hide condition in your form. However, the submission will only be counted as one even if you register 2 children.     If you are not satisfied with this workaround, I'm afraid that the only option to achieve your form requirement is to disable the Unique Submission and manually delete duplicate submissions if there are any.
