How can I send my form to multiple people to add their electronic signatures?

    I would like my form to be completed by the Supervisor and signed, then sent to the Associate for a signature as well. Can this be done?

    This can be done in two ways.

    1st - using email session

    Email session requires 2 forms and depends on the form to have multiple pages.

    Now as someone clicks to go to the next page, the page is immediately saved and anyone else that access the form will see the same - added data.

    Do note that anyone with the link can make alterations to the form, so both people would need to be trained how to use it - not to change the data of the person that filled it out.

    The downside is that as soon as submit button is pressed, the data is no longer available in the session link, since it is now located in your Submissions Panel.

    This is a great option to utilize if you are the one filling it out and need to show the form to someone else (like parents, teacher, boss, etc) to sign it as well and only then make a submission.

    You could also set the email notification to go to these other people if you wish them to get the email with the form session.

    2nd - using edit link

    This has the same downside as the method above - that the people that come to the form can make alterations, but the good side of it is that it can be used with just one form - so you do not have 2 submissions per 1 person.

    This is a great way to use when you have your own people that will review the form submitted by someone else and will make alterations to it (add signatures). They are familiar with the workflow and they know what to do, plus they can be notified by the email with the edit link and the submitted data.

    Hi

    I am interested in using the 2nd option you mentioned above for our forms.

     

    Would it be possible for two different people to access the same form at the same time or would it be locked 'for editing' if someone else is already editing the form?

    Only one person at a time should be editing the form so that the data that is submitted will be accurate. For your requirement, I believe you can instead send the form to your supervisor to be filled first. Then setup a notification or autoresponder for the associate so they can fill it up after.

    You can use the "Send email based on selection" condition to achieve this. Simply setup a condition so that if the Supervisor already filled the form, then send an email to the associate so they can fill it up next. Here's our guide on How to Send Email Based on Selection.
