Allowing a form field to be optionally hidden

Asked by larryback on August 19, 2015 at 10:09 AM

I use Jotform to create a service provider referral list for my community.  The source is a “Report Card” and the user-accessible output is a grid report.  I will not accept anonymous referrals but I do want to find a way for submitters to conceal their identity in the published reports.  There is currently a required field for the submitter’s name: “Homeowner.”  Is the best way for me to accomplish my objective to make this field optional and then create a required hidden field that only I will be able to view, or is there a simpler alternative, perhaps one that would enable a submitter to choose whether the identity can be viewable?

I am not sure if I understand your requirement. Are you asking for the Homeowner field to be excluded from your Grid Report?

If so, you can easily exclude any fields that you desire by un-checking their checkboxes on the Grid creation popup:

If I have misunderstood your question, I apologize. Can you please describe it in a little more detail how or where would you like to have this field excluded, and we will be happy to help.

Thanks. My fault for not being more explicit. I want to provide an option for a submitter to conceal his or her identity in any published report (but not conceal it from me, the administrator). I’m thinking the only way I can accomplish this is to:

    1. Make Name an optional fill-in field.
    2. Insert a checkbox immediately below the Name field with the caption “Hide Name from View” and text below that indicating “Check the box above if you do not wish your name to be displayed in the Service Provider List.”
    3. Near the bottom of the form, create a hidden field for the submitter’s name.
    4. Once I receive email notification of a submission, edit the submission to delete the name in the Name field and transcribe it to the hidden field I created. This is manageable because there are only a dozen or so submissions a month.
I was hoping for something less clunky but I’m stumped.

Larry, I'm afraid that either way you would have to ensure that this (hidden) field that would contain their hidden name is manually excluded from any report that you are creating. This is done by un-ticking the checkbox next to this field when creating your report.

When it comes to manually editing the entry, I believe that it is the best option, though a bit clunky. Please do note that you have set your form to Clear hidden field values on Submit. Therefore, I would advise you to switch it not to clear hidden fields if you intend to keep / save data into hidden fields:

    I hope this helps.

Thanks a million. One question, just to make sure I understand. Can I keep the setting to Clear hidden field values on Submit? In the procedure I am contemplating, I would complete the hidden field as an edit only after the form is submitted.

If you are planning on using the Edit button on your form's Submissions page, yes, the change in hidden fields will be saved even if the form is set to clear hidden fields on Submit.
