Is there a way to create an archive of non-active submissions but not delete them

    Jotform is dope been using since 2009, big fan, serious serial entrepreneur.

     

    that said.

     

    I currently am using a jotform to facilitate acquistion of customers, servicing them and then presenting them with an invoice/receipt- all pretty much with the same form thanks to url parameters.

     

    It works great.

     

    I was wondering if there was a way to create an archival of non-active submissions.

     

    Let me explain

     

    A customer comes to me via the web and fills out the embedded version of the form with url parameters tailoring the form appropriately.

     

    I use the same form in edit mode to faciliate the customers service needs (i.e. fix their appliance that is broke)

     

    I then use the conditional logic to create special email and thank you page that creates a receipt/invoice for the transaction and I'm done.

     

    At this point, the submission becomes non-active unless the consumer calls me up or wants service on another appliance. I want to save this data forever but I don't want to be overloaded when I pull up my dispatch board ( a custom reports widget)

     

    If I delete then I lose all the consumer's data. If I don't delete then it remains on my active data widget.

     

    So----is there a way to archive submissions(taking them out of the mix) but not delete them?

    When it comes to archiving submissions, we unfortunately do not have such an option at the moment.

    A possible workaround would be to actually export your submissions first - so that your submissions are saved on your end. After exporting your submissions, you can delete them from your JotForm account.

    If you ever need to re-import your submissions back into your JotForm account, you can do that by using our Import Submissions app:

    Import App: Easily import your Excel or CSV data into JotForm

    This way, you would be able to keep your online submissions lean, and you'd need to maintain a local spreadsheet of your submissions on your computer. When you need data back online, you would simply import it back.

    I hope that the workaround with exporting / deleting / re-importing helps, even if we don't have any actual way of archiving submissions. Please let us know if you need any clarifications or further assistance, and we will do our best to help.
