Change Payment Option & Lose Prior Data (RESOLVED)

    I have made an error on a couple of forms. I picked the wrong PayPal payment option, (Collect Donations). Although we are a non profit organization I was informed by our membership coordinator it is not a donation, we are selling a dog membership.  

    I tried to change it but it warned me if I do I will lose all prior data. Is there a way to get around this, perhaps creating a spread sheet of current data then change it or is there another option.

    Also is a dog membership payment considered a Subscription or Product?

    Unfortunately, subscriptions and custom amounts are different. You cannot switch and retain the existing values after that. Subscriptions are for recurring payments while custom amounts/donations are for one time payment.

    What I can recommend is doing the following steps:

    1. Clone your form, leave the old form intact and use the submissions there for reference.

    2. On your newly cloned form, change or edit the settings in your payment integration. You won't lose any data because this is a new form. The old form has the old data.

    3. Now use the newly cloned form as your main form now.

     

    You can also download your submissions as excel, CSV or PDF format by following this guide: http://www.jotform.com/help/73-How-to-Partially-Download-Form-Submissions-as-Excel-CSV-PDF. You'll have a backup of the data in case you delete or remove the payment integration in your main form.

     

    For your other question, if memberships should be renewed on a scheduled basis (monthly, yearly, etc...), then you might need to setup a recurring payment order form as mentioned in this guide: http://www.jotform.com/help/166-How-to-setup-a-recurring-payment-option

    OK... This presents a bit of work on my part.

     What if I was to just un-check the donation box?

    I embed the script on our site so if I create a clone can I then just change the form number from 53297495897984 to the new number in my existing  embedded form where ever it exists?

    I believe I have done this in the past successfully.

    As to part two,

    I was asking what option one should use for membership type applications. This particular application is a lifetime thing so is not renewed.

    I'm not concerned about that right now as our system is being rebuilt and will use an entirely new method in a few months and will not likely be using jotForm for any forms after then. Not my decision, out of my hands. Will wait and see what it offers.  You have a great product.

    Hi,

    I did a test in a sample payment form, I have submitted it with the donation option checked and then I have un-checked and the payment info was still there, so if you just want to receive the payment with a custom amount and not as a donation, you can just un-check the option.

    It could work, however, I would suggest you to re-embed your form, in order to avoid any malfunctioning in your form.

    If the payment is not renewed, you can use the custom payment or product , as you are doing it now, if for example, you want to sell a service each month or each two months , you can use the Sell Subscriptions Option and it will automatically charge your submitter on the date you set in the integration.

    The person that receives the payments was wondering why they came in as donations. With that unchecked they should not appear as donations any longer, so that is a good thing.
