DROPBOX INTEGRATION: Prevent PDFs stored in DropBox over-writing each other

Sorry, It's another Dropbox integration question!

I am using Jotform in our little sailing club so that people can sign up for a variety of events, which they can select from the form.

I have used "manage integrations" so that there is a different folder in DropBox for each event - so far so good.

However, every time a form is submitted and a PDF is placed in the appropriate (event) folder, it over-writes any PDF that is already there.

    How to prevent this please?

Many thanks for a great product - you guys rock, and people at my sailing club think I'm a genius! One day I'll let them in on how I've been doing the magic.

    Hi

I have cloned your form and sent a Test. I added a Unique Id , which is a hidden field to my test form

Let me know if it still overwrites the PDF file in Dropbox.

    Hi Jeanette

As far as I can tell it has not placed anything in DropBox in any of my folders, although I did get the notification email telling me you had selected the “Sat 9 June Bembridge Rally” from the options list.

As you have probably seen, my integration settings with Dropbox is to create a PDF in a folder which is based on the selection that has been made on the form.

Therefore I have for example a folder in Dropbox called “Sat 09 Jun Bembridge-Wooton (with dinghies)”

In this folder I only have one PDF, and it’s one that was created as a result of a submission I did myself yesterday.

I like being able to specify a folder in DropBox into which the PDFs are stored, however, the filenames created are the same every time, which is why they over-write.

I would have expected an additional PDF to be there based upon your (hidden) Unique ID, but there is nothing there at all.

Would it be possible to also specify a field name to be used for PDF file name to be created and stored in the folder?

    Cheers

    Mike

If you use a field to create the dropbox folders there is always this danger of getting things overwritten in the PDF file. That's why we recommend using the Submission ID for your folder names if you are not sure that each submission will be unique.

To fix this problem you can change the integration settings and change the Dropbox folder to Submission ID instead.

    Thanks!

Whats the point of that - the submission ID means nothing in a folder sructure - clients name would be good, or date and time, please - a bit of common sense would help here - we are users in the real world...

You are right, our Dropbox integration is not perfect. As you may already know, the problem is already assigned to one of our Developers, and we hope that we get some solution in the nearest future.

subfolder works before 1st march but not after...

Is it possible to make drop box folder name related to 2 fields ex: Unique Id + Name (1234566-MrFirstName)? that would give sense to the folder and keep it unique?

Hello tashes.  There had been a few requests similar to yours previously.  For the meantime we cannot give you a definite timeframe to when the change for the dropbox integration be implemented.  But rest assured, as soon as we have some updates, we'll sure to let you know.

Thanks for your patience and support.

Add my name to list of requests for this feature. Also, the dropbox integration produces too many levels of folders. What I need it to do is generate a pdf, named after a combination of fields in the form, that uploads to a dropbox folder that I specify.

Hello guys.  We have now implemented a feature for the dropbox integration that can allow two field names to be merged on to the folder name. You can still modify your dropbox settings on the submissions page.

On clicking Manage Integration, a wizard will appear for you to configure your Dropbox settings.  Select the folder name you wish to use, and the extended folder name on the 2nd field.

This way there will be no worries for unexpected overwriting files if you choose your first, or your 2nd field that sends a unique identifier (such as the submission ID).

This is how the folder looks like with the configuration of a first name-last name, and submission ID fields set on the dropbox configuration.

Please let us know if you have further questions or concerns.

    Thanks.
