Question RE: Functionality

We want to use Jot Form for an authorisation process whereby the staff complete the form, the form is sent to a manager for authorisation. If authorisation is declined the manager can bounce it to a member of staff with a comment, if it is approved they can forward it to the person who will action the decision or is added to a spreadsheet for the member of staff to action all approved decisions.

Does Jot Form allow for that functionality?

    Hi Leon,

Actually, what you try to manage is beyond JotForm's reach. Because we can not forward your emails after they landed on the initial inbox. However, if you are to approve or decline authorisations based on some of the answers that your staff give, you can setup conditions based on those answers.

The example that I am about to give may be a simple one but I want to state the main idea about email conditions:

Let's say you have Check Box field on your form and based on the choices of staff you will either approve or decline the authorisation.

This is your Check Box field. See how you can setup email conditions for that:

    1. When you press conditions on the Form Builder this will be the screen you get:

    2. Click on "Change E-mail Recipient":

    3. You can create a "Notification 2" with a different email account and setup a similar condition for it for the selection "Option 2".

I know this looks quite simple as you probably do not take actions based on just one question. However, this is the only work around that I can think of. Plus, you can add further conditions on the "IF" side and send the email notification if ALL of them are matched. This will increase your flexibility of approving or declining.

Please also note that JotForm does have an integration with Google Spreadsheet. You can collect your submission data on a sheet by this integration.

Please let us know if you can think of any other alternative. I tried to create a similar preview for you and this may trigger some other ideas on your end. Please feel free to share them with us.

Thank you for contacting us. I am glad if I could be of any assistance.
