THE WOODSIDE VILLAGE CHURCH GOVERNING USE OF FACILITIES
We are pleased that you are interested in using our facilities for your event. We consider the sharing of our facilities and campus to be part of our service to the community, and we thank you for helping to make this service sustainable through your financial contributions.
For our mutual protection and friendship, we have established regulations that govern the use of our facilities and equipment. They are listed on the application. Please read them carefully before signing and remember that signing this application means you have read and agreed to comply with them. Our facilities are here to help people serve others. We are a church and we consider this campus God’s house. We joyfully work together with all people of goodwill to serve the common good and promote the well-being of all people. Please treat our facilities in such a way that we can continue to make them available for others.
Payment & Cancellations
RESERVATION - No official reservation will be made until this form is completed and approved by the Church Office and initial payment (50% of total) and full Cleaning & Damage Deposit has been paid. Please make checks payable to: Woodside Village Church
RATE - Users should utilize the Campus Usage Rate Calculation Sheet attached to this agreement to calculate fees associated with their reservation. Users will agree to fees by signing the worksheet as an extension of this agreement.
REFUNDS and CANCELLATIONS - In the event of any cancellation, Cleaning & Damage Deposit is fully refundable. In the case of hourly and daily usage, a minimum of 30 days notice is required to receive a full refund. If the event is cancelled with less than 30 days notice, the user will receive a refund of 50% of the total usage cost. In the case of Special Event Reservations, a minimum of 90 days notice is required to receive a full refund. If the Special Event is cancelled with less than 90 days notice, the user will receive a refund of 50% of the total usage cost. The Church is a community shelter should a natural disaster or emergency occur. The Church reserves the right to preempt any event or meeting for emergency use.
General Usage & Access
Any group granted use of facilities shall not use them for any purpose not specified in this permit.
Approval for use does not include any dates, time or equipment not specified on this agreement.
The use of slip retardants containing abrasives or wax on floors is prohibited.
Nothing is to be attached to the walls, floors, doors or ceiling without prior approval. All decorations must be removed after the event except by written agreement.
User will set up and remove chairs, not to exceed the capacity of the room. Under no circumstances can additional seating (beyond authorized capacity) be supplied and placed by user.
Users' equipment, etc. must be removed from the premises after the event. Church will not be responsible for equipment, etc. not removed. Cost of removal by Church will be charged to user.
User must ensure that all rooms are left clean, lights are off, doors are securely locked, trash collected, and equipment put away and in same condition as received. Users serving food or drink must sweep and/or mop floors as needed. Additional cleaning fees may be assessed if these conditions are not met.
Damage deposit is refundable, less the cost of any negligence, damages or extra cleaning.
Lock boxes are utilized for reservation entry. The lock box code will be shared the week prior to your event. You may contact programs@thevillagehub.org with any entry concerns.
Liability & Insurance
Any user of our facilities waives all claims against The Woodside Village Church for damages to goods and injury to persons in and around the Church during the use of the premises, which arise from the use of the premises.
Proof of liability insurance may be required of any user, depending on usage, at rates not less than $300,000 per bodily injury and $100,000 per property damage.
The permission to use the facilities is granted at the sole discretion of The Woodside Village Church and may be withdrawn at any time with or without cause.
You may obtain event insurance through your homeowners insurance, or you may purchase one day event insurance. While most insurance companies offer event insurance, some of our users have found success using The Event Helper. Their contact information is listed.
