    VENDOR APPLICATION

    September 20 & 21, 2025

    Hours: 3:00 P.M. - 10:00 P.M. Saturday and Sunday (Times subject to change). Greatest patron attendance around sunset.

    Set-up 12:00 P.M. each day. Complete set-up by 2:30.

  • REGISTRATION PROCESS
    For Early Bird pricing, complete and submit this application by August 31, 2025. Final Registration closes August 31, 2025. The Vendor Committee will review each registration. To avoid excessive vendor product duplication, the date the application is received may be used to determine individual vendor category selection. You will be notified via email if your business has been accepted to participate. 

    Once notified, you will receive a vendor contract, which provides vendor participation requirements and detailed information. FOOD VENDORS AND HIGH-RISK ATTRACTIONS will be required to provide Certificate of Insurance with Subrogation. Examples of this could be axe throwing, petting zoo, pony rides, etc.

    PLEASE NOTE: If your application is accepted, there is a $55 vendor fee for the Mid-South Balloon Festival.

    LIGHT TOWERS WILL BE ADDED TO THE VENDOR AREA

     

    FRIDAY NIGHT LIGHTS

    This year arts & craft vendors, at their option, may participate in the Friday Night Lights program for special needs individuals and their families.  On Friday, Vendor set-up starts at 3:00 P.M. Gates open, guests arrive, and events begin at 5:00 P.M. Vendors may shut down around (approximately 7:15). Gates close at 9:00 P.M.  In 2023, approximately 2,000 individuals came for the Friday Night Lights event. All guests will be treated to dinner, beverage and dessert.  

    VENDORS SELLING EDIBLE ITEMS

    If you are looking to sell edible items, there is a separate application you will need to fill out.

    We will have security Friday, Sept. 19, Saturday, Sept. 20, and Sunday, Sept. 21, 2025. ALL BOOTH ITEMS MUST BE REMOVED Sunday, September 21,2025 from the property.

  • CLASSIFICATIONS

    Non-Profit: Charities, clubs or organizations with a designated IRS nonprofit status (copy of IRS 501(c)3 tax exempt letter).

    Arts & Craft Vendors: Hand-made, hand painted, hand created, hand assembled items.

    Business: Local companies providing services: plumbing, insurance, travel, security systems, home improvement, financial, etc.

    Merchandise: Retail/Resale, manufactured, non-handmade items.

    Food: Vendors who make fresh food onsite.

    Youth Organization: Scouts, sports, school etc.

    ALL CLASSIFICATIONS must list items being sold or indicate business purpose. Include PHOTOS of your merchandise or business interest as well as a picture of your booth. If selling food items, please attach menu.

    I hereby agree and give my permission for Mid-South Balloon Festival and/or partners to record, film, photograph, audiotape or videotape myself (hereinafter collectively referred to as “Works”) and to display, publish or distribute these Works for the purpose of publishing, posting on the Mid-South Balloon Festival website and posting on social media sites. I hereby waive any right to approve the use of these Works now or in the future, whether the use is known to me or unknown, and I waive any right to any royalties related to the use of these Works. I understand that the Works may appear in electronic form on the internet or in other publications outside of the Mid-South Balloon Festival's control. I agree that I will not hold the Mid-South Balloon Festival responsible for any harm that may arise from such unauthorized reproduction.

    The Mid-South Balloon Festival and/or The Town of Rossville shall not be responsible for any injury or loss that may occur to the Vendor, it’s employees, agents, representatives, heirs, successor or assigns, or its goods from any cause whatsoever while participating in the Festival. The Vendor agrees that it will indemnify and hold The Mid-South Balloon Festival and/or The Town of Rossville, its designated representatives, employees, volunteers, successors and assigns, elected officials,
    officers, agents, and related persons, harmless and free from all damages by reason of liability occasioned by any act or omission, neglect, or wrongdoing of the Vendor, its employees, or any of its agents, officers, or representatives. Vendor will, at its own expense, defend and protect The Mid-South Balloon Festival and/or The Town of Rossville, its owners’, organizers, employees, volunteers, elected officials, officers, agents, related persons, and Board members against all such claims and demands. The Vendor also agrees that The Mid-South Balloon Festival and/or The Town of Rossville, will not be responsible for accidents, fire, theft, breakage, or any other accident incurred by the Vendor at any time and The Mid-South Balloon Festival and/or The Town of Rossville is released from any and all liabilities and responsibilities. This includes the hours for setting up and dismantling for the festival.
