Now, coming back to your question, while Jotform doesn’t currently have an option for users to view their submissions through a single volunteer profile or panel, you can share your Jotform Tables with them. You can easily share your Jotform Tables with others using the Share button. Let me show you how:
1. On your Jotform Submissions Table, click on the Share button on the top-right side of the page.
2. Click on Share Settings and set your Table’s privacy options.
3. Now, click on Go Back in the top-right corner of the panel and use the Generated Link or the Invite by Email feature to invite people.
You can easily revoke the invites you’ve sent to others. Let me walk you through it:
1. While in Tables, click on the Share button to open Share Table.
2. Now, click on the avatars/icons of the people you invited next to the Shared with section.
3. Select the users that you want to revoke the access to by checking the boxes on the left, and click on Revoke.
4. Then, click on the Yes, Delete button. That’s it, you’re done.
You can also create a Jotform App and add your Jotform Tables to it. With Jotform Apps, you’ll also have the option to view your app users and manage their roles. Let me show you how:
- On your Workspace page, click on Create at the top left side of the page.
- Then, on the next page, click on App and then select Start From Scratch.
This will redirect you to the App Builder, where you can add a Table element. Here's how to get going:
- In App Builder, click on the Plus icon on the left side of the page.
- Then, under the Basic tab, scroll down to the Data Elements section, and then drag and drop the Table element in your app.
- Now, in the Select Tables window that opens, select the Table that you want, and then click on Add.
Now, to invite users to your app and manage their roles, you can share the app with them by sending an invitation via email. Here's how:
- In App Builder, click on Publish in the purple navigation bar at the top of the page.
- Then, in the menu on the left, click on App Users, and then click on Add Users.
- Now, in the Add New User window that opens, enter their email address in the Email Addresses section.
- Next, click on Send Invitation at the bottom of the window.
You'll see their roles once they're added, you can also edit the roles or add new roles if you like. Check out my screenshot below to see my results:
You can set who can view each element added to the Jotform App. Let me show you how:
- In App Builder, click on the Table element, and then click on the Gear icon.
- Then, in the Table Properties menu, click on the Condition tab.
- Now, under the Role-Based Access section, select Visible to Selected Roles Only, and then select the roles that you want.
