How to use a conditional branch in Approval Workflow to send out different email notifications

    Bonjour,

    Hello Dynamique,

Thanks for reaching out to Jotform Support. Unfortunately, our French Support agents are busy helping other Jotform users at the moment. I'll try to help you in English using Google Translate, but you can reply in whichever language you feel comfortable using. Or, if you'd rather have support in French, let us know and we can have them do that. But, keep in mind that you'd have to wait until they're available again.

Now, let me help you with your question. Listing the email address to the dropdown list where your respondents can choose from is very easy. You'll simply just add a Dropdown element and list the email address there. Let me show you how it's done.

    1. In Form Builderclick on the Add Form Element menu on the left side of the page.

    2. Under the Basic tab, scroll down the list, choose the Dropdown element, then drag and drop them onto your form.

To send different email notifications, you have to add a Conditional Branch in your Approval Workflow. Let me show you how it's done:

    1. In Form Builder, click on the Downward icon at the of the screen and select Approvals.

    2. On the Approvals page, you can remove the default elements that aren't necessary for your workflow.

    3. Then add a Conditional Branch to your flow.

    4. Click on Add conditions, click on Add a new branch, and create your condition.

    5. Your conditional branches have to be connected to an Email element so it would trigger an email to be sent once, a specific email address is selected from the Dropdown.

We also have a guide about Setting Up a Conditional Branch in Jotform Approvals that you can check out.

Give it a try and reach out again if you have any other questions.

Thanks for your answer, but my problem is to create a form able to send informations (name of a contact, phone of contact, email of contact, and a short comment associated) to a friend by an email in order to inform him to call this contact. I have around 30 friends, so I don't want to write manually each time the adress of the friend I want to inform. So my idea was to create a dropdown of email's friend and associated this to an approval. Because, if my friend can help the contact, so he can answer YES (or OK), and if he can't help the contact he answers NO (or not OK). I hope my ask is well clear now. I have yet realised a form to do that, but I can't choose in destinary email the email choose in the dropdown (it doesn't appear in the list proposed). So I have only created a sample dropdown just in order to be an help memory of friends adresses but I can't do a copy / paste of it. If you want, I can give you the weblink for this form?

I have a second question. I would like to assigne more than 10 persons for this form, I need to upgrade my account jotform. I don't have project to do lot's of form, i juste need to assign around 30 persons, what type of subscription you advise.

    Hi Dynamique,

Thanks for getting back to us. To confirm, are you trying to create a form where the user will select an email address from the dropdown, and whichever email address is selected will receive an approval email? If so, it is easy to do that since you already set up a condition that would copy the email address. Let me show you how:

    1. In Form Builder, click Settings from the top bar menu, and click on Integrations from the left panel menu.
    2. Then, hover your mouse over the Approval Flow, and click on the Approval Element.
    3. Next, click on the Gear icon, click on the Form Fields link in the Approvers section, and select the field that you want to get the email address from.

If that’s not exactly what you’re looking for, can you explain a bit more, so I can help you better?

For your other question, I moved it to a different thread to avoid confusion. You can find it here.

Once we hear back from you, we can move forward with a solution.
