Jotform Prefill: How to prepopulate fields from previous submissions

    Bonjour,

    Cordialement,

    Diego de La Villardiere

    Hi Aimen,

Thanks for reaching out to Jotform Support. Unfortunately, our French Support agents are busy helping other Jotform users at the moment. I'll try to help you in English using Google Translate, but you can reply in whichever language you feel comfortable using. Or, if you'd rather have support in French, let us know and we can have them do that. But, keep in mind that you'd have to wait until they're available again.

Now, coming back to your question, I'll need some time to check into this. I'll get back to you as soon as I can.

In the meantime, let us know if you have any other questions.

    Hi Aimen,

Thanks for patiently waiting. We appreciate it. I understand that you want to prepopulate the form fields from the previous submissions made by the users on the same form. You can use the Jotform Prefill feature for that. Let me walk you through it:

    1. In the Form Builder, click on Publish on the orange navigation bar at the top of the page.
    2. Select Prefill from the left side of the page, then choose Tables Prefill.Jotform Prefill: How to prepopulate fields from previous submissions Image 1 Screenshot 60
    3. Select a Table where to get the data from. Since you mentioned that it's with the same form, select that form.
    4. Match the fields that you want to prefill and once done, click on Save Settings at the bottom of the page. Jotform Prefill: How to prepopulate fields from previous submissions Image 2 Screenshot 71
    5. Click +Add a New Prefill.
    6. Tick the box of the submission entries that you want to prepopulate, and click on the Create button in the upper right corner of the page. Each submission data will generate a different URL. Jotform Prefill: How to prepopulate fields from previous submissions Image 3 Screenshot 82
    7. You can set it as Editable (users can make changes to the form), and Read Only (users won't be able to make any changes to the form) by clicking on Can Edit.
    8. To send it to the users, click on the Three Dots icon beside the Can edit button. You can choose from Send Invitation and Copy URL. Jotform Prefill: How to prepopulate fields from previous submissions Image 4 Screenshot 93

    Hi Lorevie,

Thank you for your answer, I've managed to complete all the instructions you gave me. However 2 questions/issues arose :

    • At step 4, softform doesn't seem to recognise the fields for my tables on my form, because of that I cannot match them.
    • Is there a way to automatically create a prefill every time someone fills up the form and export the most recent link to my website database for example ?

    Thank you for your time,

    Best regards,

    Diego

    Hi Diego,

Thanks for getting back to us. I’m sorry you're having difficulties with this. I can see you have 4 forms as of the moment but just to verify why you can't match the fields can you share the link of your form that you use for the table prefill, and can you also share a screen-recording of how you process it until you encountered the matching fields issue via Loom or save it on your Google Drive and share to us the public link?

As for your other question, I've moved that to a new thread to avoid confusion. You can check that out here.

After we hear back from you, we’ll have a better idea of what’s going on and how to help.

    Sure,

Here is the link of one of them: https://form.jotform.com/240993845293065

When I go to Tables Prefill, I can match all the fields correctly except the ones for the tables, they don't appear on the left or right list :

However when I go to the table of my form, I can see the columns for the two tables in question :

Is it clear with the screenshots or do you really need a video ?

    Thanks for the help,

    Best regards,

    Diego

    Hi Diego,

Thanks for getting back to us and for the screenshots. I understand things much better now. I’ll need a bit of time to look into this. I’ll get back to you as soon as I can.

Thanks for your patience, we appreciate it.

    Hi Diego,

We really appreciate your patience and understanding while we’re looking into this. The reason why you can't match those specific fields from your form when using the Tables Prefill feature is because you have used the Input table element for both of those fields, an element which is currently not supported.

While the feature you’re looking for isn’t currently available, rest assured we’re always working to add new services and features to Jotform. I've gone ahead and escalated your request to our Developers. When or if it's implemented depends on their workload, how viable it is, and how many other users request it. If there are any updates, we’ll circle back to this thread and let you know.

Reach out again if you have any other questions.
