Want to see a specific Table? Using the Filter, Sort, and Search tools, you can quickly organize your workspace to find a specific standalone Table or sort them from newest to oldest. In this guide, we’ll go through the different ways you can find specific tables, as well as viewing standalone tables from the Workspace, as well as different ways to view Submission Tables tied with forms.
Using the Filter Menu
This tool can be used to show standalone tables in the workspace you’re currently viewing. Submission Tables tied to forms won’t display here, as it’s a different asset type. Let’s walk through this together:
- In the Workspace, click on the Filter menu on the right-hand side of the Toolbar at the top of the page.
- Then, click on the checkbox next to Clear All to remove any selections.
- Finally, click on the checkbox next to Tables and click out of the dropdown.
Tip
The Filter Menu is designed to remember your settings. This means that your selection will appear the next time you login or access the workspace, so you can jump back into your work without adjusting the filter every time.
Using the Sort Menu
To organize how your tables are listed, use the Sort menu. Depending on what filters are selected, the Sort options may be different. Only Standalone Tables will appear in the list, since Submission Tables are tied to their corresponding form. The following options are available when only Tables are selected in the Filter:
- Last Activity: Sort Tables based on the most recent activity.
- Last Response: Sort Tables based on the time of the most recent response.
- Last Edit: Sort Tables based on the time of the last edit.
- Creation Date: Sort Tables by the date they were created, from newest to oldest.
- Title [a-z] / [z-a]: Sort Tables alphabetically or in reverse alphabetical order by name.
Let’s walk through the process of applying a Sort option together:
- In the Workspace, make sure the Filter menu is set to only Tables and, click on the Sort dropdown.
- Finally, select the Sort option you’d like to apply and click out of the dropdown.
Your list will automatically refresh based on the filter and sort options you’ve applied. For more information about the Sort menu, check out our guide How to Sort Your Assets.
Tip
Like the Filter menu, your Sort selection is persistent. This means that once a sorting option is selected, the workspace will remember it the next time you log in or access the workspace.
Using the Search Bar
The Search Bar can be used to find specific standalone tables, based on their name, title, or asset ID. Enter one of the following in the Search Bar to find what you’re looking for, based on the filters applied to the current workspace:
- Name: Enter the Table Name or Table Title in the search bar.
- Asset ID: Enter the Table ID in the search bar.
For more information about the Search bar, you can check out our guide How to Use Search on Your Workspace.
Tip
Only Standalone Tables will appear when using these tools in a Workspace. We’ll go over how to find a submission table associated with a form later in this guide.
Limitations
When using the Filter, Sort, and Search Bar, keep the following limitations in mind:
- Asset Ownership: Only Tables owned by the current workspace will appear when using these tools. If a Table is in a Team, you’ll need to follow these steps inside the Team Workspace.
- Page Limits: Only Tables on the page you’re viewing will appear when using these tools. For example, if you’re in a specific label, only Tables tied to the label will appear when using the Filter menu or Search Bar.
- Filter/Search Dependency: Information in the filter or in the search bar will determine what Tables appear. For example, if the search bar contains “January” and the filter is set to Tables, only Tables that have “January” in their name will appear in the list.
- Standalone Tables: Only standalone Tables will appear in the Workspace list, regardless of Filters, Sort options, and the Search Bar.
Viewing a Table from the Workspace
Now that you’ve located your Table, how do you view it? We’ll walk through the process of viewing Tables, as well as viewing submission tables tied to forms.
Viewing a Standalone Table
Standalone tables aren’t associated with a specific form – rather, these can be tied to multiple forms or imported data. These Tables appear in the Assets section of the current Workspace.
- in the Workspace, hover over the table you’d like to open.
- Then, select View Table on the right-hand side of the page.
- Alternatively, click on More and select View Table from the dropdown menu.
The Table will open in a new page, where you can view all related data, edit, or organize the data as needed.
Viewing a Submission Table from the Workspace
Submission Tables can be accessed directly from the Workspace, but you’ll first need to find the associated Form. Check out How to View Your Forms for more information on filter and other options for Forms.
- In the Workspace, locate the form you’d like to view submissions for. Make sure the Filter is set to locate the Form.
- Next, hover over the Form and click on More.
- In the dropdown menu, under Data, select Submissions.
The Submission Table for the form will open in a new window, where you can view submission data, edit, and organize it as needed.
