How to View Your Forms

Finding specific forms in a workspace can be daunting – especially if you’re the owner of multiple assets. In this guide, we’ll walk through the ways you can use the Filter, Sort, and Search to quickly find or organize your forms.

Using the Filter Menu

The Filter Menu is the most effective way to narrow down your workspace to show only the specific types of assets you need.

  1. In the Workspace, click on the Filter dropdown on the right-hand side of the Toolbar at the top of the page.
  2. Next, click on the checkbox next to Clear All to remove any selected assets.

  1. Finally, click on the checkbox next to Forms and click outside the dropdown. The list will refresh and only forms will appear.

Tip

The Filter Menu is designed to remember your settings. It automatically stores your preferred selection and carries it over to your next login or access. This means your workspace remains exactly as you configured it, so you can jump straight back into your work without re-adjusting your filters every time.

Using the Sort Menu

To organize how your forms are listed, use the Sort Menu. Depending on what filters are selected, the Sort options may be different. The following options are available when only Forms are selected in the Filter:

  • Last Activity: See which assets have had the most recent interactions.
  • Last Submission: View forms based on the time of their most recent submission.
  • Last Edit: See your most recent design changes at the top.
  • Submission Count: Sort your forms to show those with the highest number of responses at the top.
  • Unread: Sort your forms by the most unread entries to see which ones require immediate attention.
  • Creation Date: Organize assets by the date they were originally built.
  • Title [a-z] / [z-a]: Arrange your list alphabetically by name.

Let’s walk through how to apply different sort options to your forms: 

  1. In the Workspace, make sure the Filter menu is set to only Forms and, click on the Sort dropdown. 
  2. Finally, select the Sort you’d like to apply.

Your list will automatically refresh, based on the filter and sort options you’ve applied. For more information about the Sort menu, check out our guide How to Sort Your Assets.

Tip

Like the Filter menu, your Sort selection is persistent. Once you choose a sorting method, the workspace will remember that preference the next time you log in, ensuring your list is always ordered exactly how you like it.

Using the Search Bar

If you are looking for a specific item, the Search Bar at the top of the page is the fastest tool to use. As you type the name or a keyword, the list updates instantly to show matching results from your current view.

Limitations

When using the Filter, Sort, and Search Bar, keep the following limitations in mind:

  • Asset Ownership: Only Forms owned by the current workspace will appear when using these tools. If a Form is in a Team, you’ll need to follow these steps inside the Team Workspace. 
  • Page Limits: Only Forms on the page you’re viewing will appear when using these tools. For example, if you’re in a specific label, only Forms tied to the label will appear when using the Filter menu or Search Bar.
  • Filter/Search Dependency: Information in the filter or in the search bar will determine what Forms appear. For example, if the search bar contains “Check In” and the filter is set to Forms, only Forms that have “Check In” in their name will appear in the list.

Viewing a Form from the Workspace

Once you’ve found your form, use Quick Actions to open it either in the Form Builder or as a Live Form. Let’s walk through two different ways of opening the form together:

  1. In the Workspace, hover over the form you’d like to open in the Form Builder.
  2. Then, click on the Edit Form from the actions on the right-hand side of the page.

The form is then opened in the Form Builder, where you can edit it, add conditional logic, and more. Now, let’s walk through using the More menu to view the form: 

  1. In the Workspace, hover over the form you’d like to view. 
  2. Then, click on More on the right-hand side of the page. 
  3. In the drop-down, under Form, click View to see a live version of the form or Edit to open the form in the Form Builder.
