As an insurance broker specializing in life insurance, disability, and annuities, Diversified Insurance Brokers has found a unique but important niche in helping families plan for college. By leveraging insurance products to protect assets from FAFSA calculations, DIB created a high-demand service delivered through in-person events and workshops.

However, as business grew, DIB’s manual processes for events began to buckle under the pressure. Managing attendee data via spreadsheets and Salesforce was no longer sustainable for a firm looking to scale.

“When we did 10 people a month, it was OK to rely on manual tracking and record keeping,” says Jason Stolz, DIB’s chief underwriter. “But 500 to 1,000 a month — it’s just way too much to keep up with manually.”

Luckily, Stolz’s colleague suggested software they’d used previously in a former role: Jotform.

Seamless capture and integration

Following the recommendation, Stolz implemented Jotform to handle the influx of data from DIB’s various workshops and digital touchpoints. The transition was immediate, allowing the team to distribute links across their website, email signatures, and even social media.

But the real game changer for DIB was Jotform’s ability to talk to its existing tech stack, namely the customer relationship management (CRM) system, monday.com.

“The transition to Jotform has been very, very helpful,” says Stolz. “It’s one thing to capture the lead — and Jotform does that — but if we had to manually then input them into our CRM, that’s just trading one headache for another.”

Immeasurable time savings

Since adopting Jotform, DIB has seen a massive uptick in efficiency. Stolz notes that the company now processes roughly 500 forms per month, a volume that would not be possible without Jotform’s automation features.

“Time-wise, it’s not even measurable,” he says. “It would be impossible to do what we’re doing manually, without Jotform — literally impossible. So whatever the largest number there is to measure it, that would be my number.”

For Stolz, the ultimate testament to Jotform’s value is that it works so well you forget it’s there. When he and his team are talking to “hundreds of people a week,” a simple, effective system is key.

To quantify the impact, Stolz provides an analogy: “It’s like football. When you don’t hear from the offensive lineman, it means they’re doing their job. When some of the support starts to fail, it causes everything to fail. Jotform is the support for what we do.”
